Functional & Personal Assistant

Currently we are looking for a candidate for a role of Functional and Personal Assistant  to provide secretarial functional and general administrative support to the assigned executive exercising confidentiality, tact and diplomacy.

In this role you'll:

Perform operational tasks requiring specialised knowledge of the assigned functional area and associated tools (SAP, Speedhire…).Provide assistance and answer functional questions asked by internal/external clients.Collect information and produce reports and documentation associated with the functional activities.Ensure the organisation, maintenance and accessibility of functional area documentation and reports.Participate in specific projects requiring functional area knowledge.Provide administrative support to managers and /or teams ( reporting, event organisation, travel..) and coordination of teams of the organisation.Handle supervisor’s agenda and ensure that the supervisor is always attainable and that all pertinent issues are dealt within a timely fashion.Receive, screen and direct incoming calls, mail and e-mail.Prepare correspondence, reports, presentations, agendas, minutes, status reports, etc.;Organize and coordinate Staff briefing / Events / Meetings for the entity including travel request follow-up.Follow up administrative requests (travel , expenses, absence...) and approve standard demands within delegated authorities.Follow up services requests for the organisation supported.Set up, organise and maintain project and administrative files.Greet and escort visitors, and guests.Ensure a company processes relay role (policies, formflow & tools trainer) at the organisation level.Organise office allocation / new comer and internal moves.Check that the offices set up are appropriate and that office equipment is properly configured, installed and maintained.Follow-up office facility services (phone, video, printer, stationery) and office allocation
Maintain necessary office supplies for supervisor/group supported.Handle specific projects related to the activities of the entity requiring basic knowledge in this functional area

About the ideal candidate

University degree in Business Administration and Management/ Economics/ FinanceExperience in a similar environment in a multinational matrix organizationKnowledge of Microsoft package (Word, Excel, Power Point)Fluent EnglishProactivity and problem solving skillsAbility to work under pressure and prioritize tasksVery good organizational skills,  attention to detail, deadlines and reportingFlexibility
