About the Role:

Global Business Solutions (GBS) is a service line under the COO's office. GBS is tasked with driving the firm's captive center and providing operational support services to all business units across the globe, improving enterprise competitiveness and cost optimization while optimizing internal service delivery to various functions and BUs.

We are looking to hire an Operation Manager I within GBS to manage our growing Manila office. The Operation Manager is responsible for the overall operations and administration in Manila, creating a culture of transparency, integrity, teamwork and high performance. Primary responsibilities are focused on one or more broadly defined core functional areas to monitor our organization’s functions and build processes that meet our business needs, such as specialized administrative management, spearheading Manila social engagements, driving employee onboarding, etc. This position involves regular communication with team members, cross-functional stakeholders, senior management, and external vendors/suppliers; and coordination, project management and presentation skills are essential. Reporting to Head of Manila Operations.

 

RESPONSIBILITIES:

 

1.     Daily Operations Monitoring:

Monitor daily operations and address potential issues when they arise to ensure minimal disruption.Proactively following up with corresponding responsible persons, with appropriate escalation as neededOwn site operations aspects such as site scheduling, transportation, and visitor agenda facilitation.Own key reporting KPIs, including onboarding timelines, attrition rates, and growth percentages.Document key operations processes and artifacts.Intranet webpage maintenance: bimonthly review and update of relevant information on Manila site intranet to guide visitors coming to ManilaCoordinate and take care of agenda for key stakeholders' visits

 

2.     Compliance and Process Improvement:

Building, implementing, and improving standardize processes that meet our business objectives and ensure complianceMeasuring the efficiency of systems and procedures, identifying opportunities for improvement.Enforce corporate policies, safety, and regulatory standards to ensure compliance.Take charge of Emergency Response Team, partner with HR to report on employee health and safety and to implement measures as aligned with the Company policy and local regulationsMonitor and coordinate to ensure timely reporting for mandatory regulatory compliance applicable to the entities in the Philippines: BOI, POSH, etc.Work closely with on-site Nurse for all compliance matters

 

3.     Financial and Resource Management:

Plan purchases, negotiate contracts and coordinate budgeting to make sure business continues as usual with minimal downtime or interruption of cross-departmental workflow.Manage Manila City and PD budgetMonitor financial data and recommend solutions that will improve profitabilityPlan annual activities for Social Committee with reasonable reflection on team structure and participation

 

4.     Fostering culture of collaboration and efficiency

Own social committee and employee engagement activities, including planning, resourcing, collaborative execution, and reporting.Coordinate with the HR department to ensure our hiring plans meet our business needsTeam Coordination: Foster cross-team learning and exchange of ideas.Stakeholder Communication: Keep stakeholders informed about shifting priorities and projects.Drive for efficiency via coordination, keeping IFS functions accountable to operations timelines and deliverables quality.

 

REQUIREMENTS:

 

Proven experience in operations management or a similar role.Strong problem-solving and analytical skills.Excellent communication and interpersonal skills.Ability to manage multiple tasks and priorities effectively.Knowledge of regulatory compliance and corporate policies.Proficiency in financial management and budgeting.The ability to interpret financial data and allocate budgetsProficient in stakeholder management, vendor management, and project managementProactive, adaptable, and results-oriented
