GDM Facilities Assistant

Job Overview
In a truly multi-skilled role, we have combined facets from various traditional service lines into one team. This role undertakes tasks such as meeting room set-up and AV support, porterage, light handyman duties, mailroom support, and helpdesk. Facilities assistants are the boots on the ground, the eyes and ears of our delivery, and the first point of contact for our customers. They are an intrinsic part of the workplace experience within DeepMind offices, the go-to people when you need something done or help with anything workplace-related.

Trained to provide cover for other areas of the client-facing team, such as reception and housekeeping, to really drive the one-team culture across the whole property and workplace team. The key to the success of this role is that they will take accountability for any task they identify or receive. Facilities assistants ensure tasks are completed in a timely fashion and, more importantly, will liaise with the affected DeepMind building users to ensure the whole experience is well managed and a truly positive experience. In an active and busy role, the facilities assistants are at the forefront of many customer activities.

Main Duties
To own and take responsibility for allocated floor areas and ensure that 5-star customer service is experienced by all
To be the first point of contact for building occupants.
To be visible to all users and build relationships with all levels of users.
To ensure the floor area is compliant with health and safety procedures.
To ensure that the floor area is compliant with environmental procedures.
To ensure that the site rules are enforced.
To report all faults and issues to the relevant service partner as directed
To monitor and review the multifunctional devices around the floor
To monitor and review the Micro Kitchens and stationery hubs
To support building users with meeting room technology, through regular checks
To conduct daily floor checks
To work as part of the soft services team and have multi-skills in all positions, including, but not limited to, the soft service support team, events, and X1 reception.
To have a full working knowledge of the building, including all services
To assist with administration duties such as basic finance duties and permit-to-work management.
To complete regular audits
To carry out basic maintenance tasks as required
Full understanding of the scope of the wider FM provision
Management of the mail service: Outgoing and incoming couriers and Royal Mail, outgoing and incoming internal post, sorting and distribution of all mail and mail items to the relevant DeepMind teams, forwarding of any misdirected mail to relevant branch
Ensuring the general office and meeting room environments are clean, tidy, and presentable at all times.

WHAT WE ARE LOOKING FOR
We are looking for a self-motivated, enthusiastic team player who proactively seeks to support the customer and deliver exemplary customer service. This role needs someone who is always willing to get involved and resolve issues firsthand.
Knowledge of Maximo or a similar CAFM system.
Relevant experience in a Planning role using business in-house systems together with Google G-Suite packages
Knowledge of the hard services and facilities management sectors is desirable
Exceptional IT skills
Educational and vocational qualifications in line with a Customer Service role
