GENERAL CLERK III (Temporary)

GENERAL CLERK III This position is located in Annapolis, MD The core working hours are 7:30 am - 4:30 pm, Mon-Fri. This is a full time position.  The hourly wage is $21.41 This position may require use of your personal vehicle to transport persons-served. All Melwood transportation policies must be followed. Liability insurance on your personal vehicle must be in full force and effect while transporting for or on the behalf of Melwood. Melwood will reimburse for mileage pursuant to the Travel policy. This position requires that the employee must successfully complete criminal history information background check and drug screening and be able to obtain and maintain a government security clearance.

INTRODUCTION

To assist the Project Manager with all administrative tasks necessary to operate the custodial contract at the site.

KEY RESPONSIBILITIES

1. Manages incoming calls and takes messages from building tenants regarding additional work that is being requested of the Melwood crew. Assists the Project Manager and on site supervisory personnel in the dispatching of personnel to address specific problems. Tracks on a daily basis the number of calls and the amount of time that each call took to complete. Prepares a weekly report, which outlines what work needs to be billed as “additional work” per contract outline.

2. Develops and maintains a filing system to track the above “service call” system. Maintains files for contact sheets, attendance records, etc.

3. Monitors the automated payroll system and ensure that all needed adjustments to the clock are made based on the schedule set by our finance department. Reviews all vacation and sick leave requested to ensure that each worker has the available time. Works closely with the Payroll clerk to ensure a smooth and accurate payroll every two weeks.

4. Ensures that new employees are set up with new time cards and coordinates this with Payroll. All terminated employee cards are returned to the main office for disconnection and reissue.

5. Maintains personnel data files.

6. Reviews inspection reports received from Quality Assurance personnel and coordinates with Project Manager and supervisory personnel to have deficiencies corrected.

7. Receives the weekly delivery of laundry and mops, and maintains the records for these items.

8. Orders and issues supplies and equipment and maintains supply and equipment inventory. Helps with the annual physical inventory accounting of all assigned equipment.

9. Maintain vehicle mileage logs for the onsite vehicle and ensures that these reports are forwarded to the main office each month.

10. Servers as the recording secretary at contract site staff meetings.

11. Receives every two weeks the sick/vacation leave balance report from the main office. Tracks and monitors each employee’s balance to ensure that they are only allowed to use leave that they have on the books. Makes necessary adjustments to the automated time clock to ensure that workers are adequately compensated.

12. Maintains daily progress chart on services performed on a monthly or less frequent basis.

13. Other administrative duties as assigned by the Project Manager.

QUALIFICATIONS:

High School Diploma and one (1) year secretarial experience required. Good secretarial skills to include typing 50WPM. Must be flexible and capable of prioritizing and organizing work.
