Job Summary:

The Genetic Assistant, Provincial Medical Genetics Program (PMGP) receives administrative supervision from the Operational Director and performs a variety of clinical support functions under the general supervision of the Medical Geneticist, Genetic Counsellor, and/or designate. To support the clinical PMGP team, the Genetic Assistant utilizes past experience in a hospital or laboratory environment to prepare for and follow up on patient appointments, assisting clinicians by performing tasks associated with ordering genetic testing and communicating information to and from the clinic with patients and providers. The role relies on experience in genetic testing, biology and medical terminology to prepare a variety of technical and non-technical material, maintain patient records and files, and determine appointment eligibility and priority, utilizing intermediate word processing, spreadsheets, and databases.

Duties/Accountabilities:

1.    Obtains information required for assessment from patients, families and medical offices such as personal medical history, family history and associated medical documentation/reports. Enters relevant patient information, relying on medical terminology and genetics knowledge, into the appropriate data system(s). Identifies questions or concerns to physician/clinical staff as required as per established guidelines.
2.    Prepares and maintains patient charts and testing materials including paperwork and kits. Completes requisition forms and applications for review by physician/clinical staff and assists in organizing samples and information to testing laboratory and/or testing kits to patients.
3.    Makes preapproved updates to the data system as directed by leadership.
4.    Utilizes medical terminology to assist with review and triage of specific cases by determining eligibility of patient referrals and triaging accepted referrals to the appropriate physician/clinical staff with prioritization according to established guidelines.
5.    Drafts funding application letters using established guidelines and approved templates for review and completion by physician/clinical staff.  
6.    Enters patient information into computerized data system and prepares patient documentation for filing in the permanent health care record.
7.    Answers general questions from the public, patients and health care providers about the PMGP and genetic testing. Identifies or addresses questions to be forwarded to physician/clinical staff for response.
8.    Communicates information to patients and/or physicians’ offices as required both pre- and post-appointment as directed by physician/clinical staff.  
9.    As directed by physician/clinical staff, refers patient to other services or arranges accordingly, such as referrals to Patient and Family Counselling and other specialists/diagnostic facilities.
10.    Reviews and compiles scientific literature specific to patient diagnoses from web-based databases such as PubMed as directed by physician/clinical staff to support patient assessments and development of clinic guidelines. Provides summary to physician/clinical staff for review.
11.    Administers clinical patient reported outcome surveys and records information in computerized data system(s).
12.    Performs other related duties as assigned.

Qualifications:

Education, Training and Experience

•    Completion of a diploma in a related health science or social science discipline, plus two (2) years recent related experience, or an equivalent combination of education, training, and experience.
