The Gift Management Associate is responsible for processing and posting financial transactions related to fundraising efforts accurately and promptly. Key duties include managing and reconciling gifts and revenue transactions, acknowledging donor contributions, and maintaining an up-to-date donor database with accurate biographical information. This position serves as a primary contact for all departments and areas within the division and the University regarding financial transactions related to fundraising. The associate will also collaborate with Gift Management and Development office staff to improve efficiency in gift processing operations and assist with various data-related projects.

Role and Responsibilities 

Accurately and promptly collect, input, and process gifts into the Blackbaud CRM donor database, in compliance with University of Miami gift acceptance policies, university procedures, IRS regulations, Controller's restrictions, and C.A.S.E. standards.Perform high-level gift entry for all types of gifts, including but not limited to cash, checks, credit card donations, pledges, stock gifts, DAF gifts, gifts-in-kind, estate distributions, planned gifts, and payroll deductions.Monitor and manage the gift management inbox and service desk daily, responding to inquiries in a standard service level timeframe to either resolve the issue or to direct them to appropriate team members.Provide exceptional customer service to donors by responding to inquiries regarding their contributions, receipts, and gift documentation.Manage the monthly process of sending pledge reminders to donors, working with Development Officers to customize reminders as needed.Act as a liaison between donors and the Development team, ensuring clear communication and follow-up for any issues or requests.Examines and verifies the accuracy of the donor’s designation of the pledge using backup documentation to determine appropriate fund.Remain flexible and responsive to changing transaction volumes, office needs, and shifting priorities to ensure gifts are processed in a timely manner.Participate in maintaining data integrity and automation within the constituent database by making necessary data edits, resolving duplicate records, and proactively identifying areas for technology enhancements. Reviews and updates monthly quality control reports to maintain database accuracy and data integrity. Ensure adherence to all relevant policies and donor agreements in managing gift funds, with accurate record-keeping for auditing purposes.Adheres to University and unit-level policies and procedures and safeguards University assets.Takes initiative in identifying opportunities for improvement and shows accountability for individual performance.Monitors compliance with gift management policies and procedures.This list of duties and responsibilities is not intended to be all-inclusive and may be expanded to include other duties or responsibilities as necessary.

MINIMUM QUALIFICATIONS 

Education
Bachelor’s degree.

Experience:
Minimum 3 years of relevant experience; 3-5 years of demonstrated success in gift processing and data entry in a high-volume fundraising operation and proficiency in Blackbaud CRM or Raiser’s Edge NXT preferred. Any relevant education, certifications and/or work experience may be considered.

Knowledge, Skills and Attitudes:

Experience with Blackbaud CRM, Raiser’s Edge, or similar fundraising databases preferred.Familiarity with various types of charitable donations and giving guidelines.Ability to work independently, meet deadlines, and solve problems with minimal supervision. Strong command of Microsoft Office 365 applications with proficiency in Microsoft Excel.High level of accuracy and attention to detail, with proactive execution of assigned duties.Excellent administrative, organizational, and project management skills.Strong commitment to quality work and customer service.Ability to work with a team and participate in a service-oriented program.Exceptional editing and proofreading skills.Excellent verbal and written communication skills.Excellent analytical and problem-solving skills with the ability to take initiative, embrace challenges, and develop creative solutions.Ability to work well with individuals at all levels within an organization.Commitment to adopting best practices and operational efficiency.Ability to manage multiple priorities.Commitment to the University’s core values.
