Job Title Graduate Studies Coordinator Full Time/Part Time Full Time FLSA Non-Exempt General Job Description This is a professional position responsible for coordinating the operations and activities of the university’s graduate studies program from recruitment and admissions through graduation and alumni engagement. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Program Director. Essential Job Functions 1. Coordinates office operations and acts as the initial point of contact for the office. Provides in person, telephonic, and electronic customer service and support.2. Assists with program activities including those in support of recruitment, admissions, retention, graduate assistant eligibility, advising, commencement, graduate fairs, career fairs, and alumni engagement.3. Confers with graduate program coordinators as well as with staff including those from the colleges, enrollment management, financial aid and scholarships, student business services, office of the provost, and the registrar’s office.4. Interprets and applies graduate school policies and university procedures related to graduate studies.5. Assists with development and facilitation of informational sessions for graduate program coordinators, graduate students, staff, and/or faculty.6. Coordinates processes associated with graduate faculty membership.7. Reviews and assists with publishing theses, exhibitions, and dissertations into the Scholar Works directory.8. Performs recordkeeping in Banner and other information management platforms.9. Gathers and compiles relevant data to support graduate programs.10. Provides support for graduate council meetings and graduate curriculum reviews.11. Supervises graduate and undergraduate student assistants. Non-Essential Job Functions 1. Assists in selection and training of departmental staff, including student assistants.2. Serves as backup to other departmental staff as needed.3. Represents the graduate school on university committees and at university meetings.4. Performs other related duties as assigned. Required Knowledge, Skills, and Abilities The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

1. Knowledge of, or the ability to learn, university and departmental policies, procedures, and requirements related to the area of responsibility.2. Skill in using computer applications including spreadsheet, database, and word processing software.3. Skill in completing assignments accurately with attention to detail.4. Ability to communicate effectively in both oral and written form.5. Ability to explain policies and procedures to university faculty and staff, students, and the public.6. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.7. Ability to work effectively and patiently with students.8. Ability to set priorities and complete assignments on time.9. Ability to work with and maintain confidential information.10. Ability to learn office and university-specific software. Physical Demands Required Education Bachelor’s degree is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources. Required Experience and Training Two years of related experience is required. Additional education may substitute for experience on a basis set forth by the Department of Human Resources. Preferred Qualifications Experience in a graduate school or higher education admissions office is preferred.
