Guest Relations Communications Coordinator

The Guest Relations Communications Coordinator position exists to perform diversified functions in representing FOTF to guests that visit the ministry campus by greeting guests, providing organization information, acting as the lead guest relations content provider, serving in various capacities in the Welcome Center, administrative support, conducting tours and the liaison to the Security Department; requires general supervision and refers questionable matters to supervisor. Essential Duties/Responsibilities: Content Provider: + Maintains and updates Welcome Center and Guest Relations web and social media presence through website updates and social media site content + Records in multiple formats and writes constituent stories for ongoing video updates and stories via web and social media Tour Host/Hostess: + Greets, ministers to, and assists guest(s), which may include providing information, directing visitors for tours, broadcast tapings or appointments + Answers questions concerning the work of Focus on the Family, its history, and its goals; engages in continuing education about the ministry + Hosts broadcast taping audiences and answers questions concerning the work of Focus on the Family, its history, and goals; escorts, as needed, VIP guests to ministry appointments + Provides hospitality and assistance for special events of the ministry, including after-hour events Administrative Support: + Stocks and provides magazines and other complimentary materials/resources for guests + Receives, sorts, and distributes incoming mail for appropriate distribution; may research and assemble background materials required for response + Assists in short or long-term projects as assigned by supervisor + Creates, maintains, organizes, and ensures security of office and computer files containing records, reports, etc.; supplies information from files as requested; maintains front desk manuals, logs, and computer files + Operates and inputs data into computers using existing software; uses data to develop reports and presentations + Actively distributes and serves as the communications “hub” for information relevant to Guest Relations + Assists in a variety of administrative duties involving VP of Communications, including processing receipts and filing expense reports via Concur, maintains P-Card for department supply purchases, and acts as backup for Dayforce + Monitors administrative assignments and sets priorities for meeting deadlines; balancing supervisor’s and own workloads; adjusts work schedule to meet extra demands and or changing priorities + Assists with budget management + Maintains subscriptions for VP and various ministry personnel + Performs other administrative duties including appointment and conference room scheduling, making travel arrangements, and preparing expense statements, maintaining information, files, tour books, scheduling information, preparing semi-routine correspondence, reports, and forms Reception: + Serves as FOTF information specialist to guests (its history, objectives, ministries, budget) by researching questions and providing answers + Serves as diplomatic "buffer" for employees from visitors who don’t have appointments + Arranges special unscheduled tours/visits for the ministry when possible + Connects businesspeople with the appropriate FOF ministry/department with which they have an appointment + Answer questions concerning past and present FOTF leadership in a manner that would actively ensure privacy, safety, and their well-being + Interfaces with other departments within the ministry and/or outside contacts to exchange information, answer inquiries, consult on problems, and secure cooperation or approval on action to be taken + Takes reservations for Broadcast tapings, checks in guests on day of taping, and ensures seats are available for all those who have reservations; Books birthday party reservations/requests; Books large group playdates + Answers, places, screens, and refers calls efficiently and cheerfully; takes messages and responds to inquiries by providing appropriate information; Receives and maintains updated secured ministry directory + Trains volunteers and employees who assist with front desk coverage + Creates an d posts the Welcome Board daily, and makes changes as needed Security + Enforces and implements security/safety procedures with guests, general crowd control; alerts Security to difficult and/or hostile visitors + Acts as the Guest Relations liaison to Security; writes security reports of events, activities, and system deficiencies + Maintains attitude and awareness of surroundings and security procedures and risks Other Duties/Responsibilities: + Ministers to and prays with guests as opportunities arise + Serves as a floater, to fill whatever position is needed + Takes written messages concerning tour or birthday party bookings + Cross-trained as First Aid Responder, and Fire Warden + Works with other Guest Relations staff to effectively build a strong team environment + Performs other duties as assigned Working Environment/Physical Activities: + Must be able to pass a Post Offer Prehire Physical exam + Office and inter-campus environment + Occasional holiday and weekend work is required + May be required to work on Saturday, in addition to other days throughout the workweek + Ability to walk across the parking lot several times per day, including in adverse weather conditions + Ability to stand, walk and speak for long periods + Ability to lift 40-50 pounds + Must be able to operate motor vehicles safely, possessing a valid Colorado driver’s license JOB QUALIFICATIONS/REQUIREMENTS Character/Spiritual: Exemplifies Ephesians 5:1-2, “Therefore be imitators of God as dear children and walk in love, as Christ also has loved us and given Himself for us...” Pursues the Great Commission given by Jesus Christ in Matthew 28:19-20, “Go therefore and make disciples of all the nations, baptizing them in the name of the Father and of the Son and of the Holy Spirit, teaching them to observe all things that I have commanded you;
