The Role of the Guest Relations Coordinator
The Guest Relations Coordinator is responsible for fielding guest comments and inquiries through effective communication methods including telephone, email, mail, faxes, and couriers. This individual is also accountable for regular and project-based administrative assistance to the Operations team.
Key Functions
Receives, processes, and confirms Guest Preference Planners, communicating with the guest and the operation within approved brand guidelines.
Prepares a Personalized Guest Itinerary to be placed in the arrival packet and presented to the guest upon arrival.
Receives, processes, and confirms guest requests through the Ocean Club, A Four Seasons Resort, email address.
Prepares a list of guest activities to be included in the welcome packet on the guest’s arrival day.
Prepares personalized welcome letters from the GM for arriving guests.
Ensures that all special requests, changes, and amenities are recorded and communicated to the relevant departments.
Reviews next-day reservations to ensure all special requests are recorded and properly traced.
Actively participates in the daily arrival process by greeting and interacting with guests and being present in the lobby.
Monitors guest expectations by working with Guest Preference Planners and following up with operations daily, including milestone celebrations.
Assists managers in introducing and meeting with guests.
Receives on-site reservation requests and processes them through KCRS in accordance with brand standards.
Plays a key role in maintaining guest history.
Immediately responds to guest inquiries or concerns, escalating issues to senior management when necessary.
Ensures proper arrival processes for VIP guests, including room assignments that reflect guest status and the delivery of approved Ocean Club amenities (e.g., fruit bowls, ice, turndown service, or other special requests).
Maintains a strong presence in guest areas such as pools, restaurants, and lounges, ensuring that any issues raised are promptly resolved.
Oversees daily operational activities of the resort and ensures the execution of guests' personal requests and needs while delivering exclusive, personalized service through consistent communication with the leadership team.
Ensures confidentiality of all received information.
