 Position Overview: 

The Guest Services Ambassador (GSA) plays a vital role in delivering exceptional customer service to both internal and external stakeholders. This role is dedicated to creating a welcoming and comfortable environment for all guests and employees from the moment they entire the office. The GSA will collaborate closely with other WPS team members, employees, and customers through various communication channels, including Slack, email and in-person interactions, to provide support with a hospitality mindset. This role demands a high level of service orientation, outstanding organizational skills, self-management, and the ability to build strong professional networks. 

 

Reception Services 

Provide a warm and hospitable welcome to everyone entering the office, ensuring a positive first impression. 

Serve as a host for guests, assisting with registration, taking coats, offering beverages, and directing them to the waiting area. 

Build rapport with staff by greeting them daily and learning their names for a personalised welcome. 

Deliver exceptional service for VIPs and executives, creating memorable and premium experiences during their visits. 

Maintain a professional demeanour, adhere to the dress code, and ensure a polished appearance at all times. 

Ensure the reception desk is manned consistently during office hours to provide uninterrupted service. 

Oversee parking services, ensuring registration and access are managed efficiently and promptly. 

Comply with corporate security policies by accurately handling badge activation and access control distribution. 

Manage the main reception telephone line with clear, professional, and courteous communication. 

Keep the reception area tidy, presentable, and aligned with the company’s professional standards. 

Ensure the reception and back-office areas are fully stocked with necessary supplies and handle replenishment orders as needed. 

 

Administration 

Coordinate with the Service Desk to receive meetings and events requests and support employees in booking them. 

Collaborate with the WPS team to ensure that meeting and event requests are arranged smoothly.  

Ensure the booking of rooms and catering in close communication with the internal customer as well as seamless service delivery in cooperation with WPS team.  

Ordering snacks and refreshments, office supplies and bathroom amenities for the office as required and maintain relevant budget trackers and follow procurement processes.  

Monitor consumption trends, gather feedback to align with employee preferences, and collaborate with the Day Porter and WPS team to source sustainable, high-quality products while minimising waste. 

Support any kind of event hosted in our offices with logistic requirements, such as catering, furniture, equipment, or additional staff. 

Maintain the office capacity tracker and ensure timely communications during capacity thresholds. 

Keep Google calendars for the team organised and updated with relevant information. 

Place orders with suppliers following procurement processes and keep budget trackers updated to ensure budget adherence.  

Maintain team documents and trackers, ensuring accuracy and regular updates. 

Adhere to corporate security policies at all times and ensure all training is current. 

Coordinate all onboarding and off boarding processes for employees. 

Collaborate with IT Support for any AV setup requirements. 

 

Mail Services 

Handle incoming and outgoing mail, including registration and distribution, in line with company policies. 

Prepare shipments of company packages and special registered mail for employees or the Workplace Services department using the ticketing tool. 

Ensure mail and packing materials are readily available at reception and the mailroom, ordering supplies as needed. 

 

Communication 

Communicate proactively and professionally using internal tools such as Slack and Google Mail and IFM Equivalent. 

Maintain daily communication with WPS team members and attend meetings as required to ensure seamless operations. 

Build and maintain close relationships with relevant internal and external stakeholders, including caterers, suppliers, Executive Assistants, building management concierge staff, and frequent office hosts. 

Vendor manage and build relationships with all vendors for the office, for example, including caterers,  

 

Qualifications and Required Skills 

Minimum of 2-3 years of experience in a front-desk, reception, or customer-facing role, preferably in a corporate or hospitality setting. 

Demonstrated ability to deliver exceptional customer service with a strong hospitality mindset 

Excellent verbal and written communication skills in English. Proficiency in Dutch is a significant advantage. 

Competence with tools like Google Workspace (Gmail, Google Calendar, Google Drive), and Slack. 

Strong collaboration and networking skills to build positive relationships with internal and external stakeholders.
