The Head and Neck Pathology department is looking for an enthusiastic, self-motivated Band 4 Medical Secretary to join the Synnovis Head and Neck administrative team at one of the leading national NHS Foundation TrustGuys and St Thomas Hospital based in Central London, with iconic views of the London Eye and Houses of Parliament. The ideal candidate will be a quick learner, good team player and keen to develop their administrative and people skills through interaction with patients and fellow colleagues (both clinical and non-clinical) in support of our diagnostic service This office based role is a patient focused role will give you the job satisfaction that comes from knowing we are putting patients first. You will be assisting a group of scientists/clinician who are experts in histology and pathology which provides an important service for the NHS. Main duties of the job The post holder will help in the day-to-day running of the office and provide support to the Operations Manager. Other main duties to include maintenance and updating of the office protocols relevant to the section, and the implementation of the Departmental Health and Safety procedures, within the office area. The post holder will also provide training, administrative and secretarial duties and support for the service under the direction of the Tissue Sciences Office Manager and Clinical Lead Consultant Pathologist. The post holder will work flexibly with Band 4 Medical Secretary to provide cover in times of absence. To liaise with the Office Manager on matters relating to administration and supervision of the office unit, to be responsible for the new or junior staff in respect of office procedures. To liaise with the Trusts Information Technology Unit and the Cerner Pathnet Team on matters relating to the departmental computer. To liaise with the medical and technical staff on all clerical matters (both external and internal clients). The team is based at Guys Hospital with iconic view of London skyline of the Shard and the iconic Borough Market within a short walking distance. It is a small skilled team of two staff covering the Head and Neck Pathology service which is UKAS accredited and one of the leading NHS hospitals in its field. Processing over 5,000 Histological and Dental samples. For an informal visit or discussion about the job, please contact : Parvinder Bahia, Tissue Sciences Office Manager Parvinder.Bahia@gstt.nhs.uk Detailed job description and main responsibilities Duties and Responsibilities 1.Management, Organisational and Administrativea.To supervise junior A & C staff and to plan and organize the office work area.b.To inform the Office Manager of staff performance levels.c.To identify and meet appropriate training and development needs.d.To organise and implement effective cover to ensure the workload of the specific specialty sections is processed in a timely and efficient manner.e.To receive and tactfully provide advice and instruction to visitors, staff and patients. 2.Secretarial Services a.To establish and maintain high standards of work within the office area by the communication and receipt of routine, complex or sensitive information.b.To maintain and update as required standard operating procedures covering all aspects of activities within the office area in relation to the provision of the sub-specialist Histopathology services.c.To provide secretarial assistance to the sub-specialist Consultant Histopathologist in co-ordination with other secretaries within the department.d.To type pathology reports and letters, this will require use of audio typing equipment.e.Requirement to touch type, minimum audio typing speed of 45 words per minute.f.To liaise with the Multidisciplinary Team (MDT) Meeting co-coordinator and Consultant Histopathologist in identifying cases required for the weekly MDT meetings.g.To assist the MDT co-coordinator in obtaining any previous Histopathology from throughout the region, as required for the MDT meeting.h.To organize couriers for the sub-specialist Histopathologist when required.i.To maintain the departmental filing systems to an acceptable standard.j.To ensure the provision of an effective telephone answering service for the sub-specialist Histopathology sections of the department.k.To maintain professional competency and dexterity in those precision based, physical tasks (keyboard skills), and maintain the levels of concentration required maintaining a quality service.l.To locate and despatch specimens; collect and sort out daily mail.m.Assist in preparation for meetings by obtaining required information for attendees as and when required.n.Answer telephone enquiries in a polite, courteous and efficient manner and deal with these enquires in an accurate and timely manner, maintaining patient confidentiality at all times.o.Comply with any requests to print and fax or post patients results to appropriate people, maintaining patient confidentiality and complying with Data Protection Act at all times.p.Attend team meetings as and when required and take minutes of team departmental meetings and distribute to attendees as and when required.q.Prioritise own workload to ensure reports are dealt with appropriately and in a timely fashion.r.Build and maintain working relations with all members of staff, and promote effective teamwork.s.Liaise with the Trust and Synnovis Finance in the invoicing for private patient services for the Head and Neck Department. 3.Clinical a.
