The HIM Birth Certificate Associate is responsible for ensuring birth certificates are completed accurately and timely for all newborns. The position requires the Birth Certificate Coordinator be familiar with the use of the Louisiana Electronic Registrar system and maintains their Acknowledgement Of Paternity (AOP) training annually. As the main registrar for the LCMC hospitals, this individual is responsible for ensuring that the facility is meeting all state requirements. This individual will be responsible for keeping current all related forms and information provided to the patient. This individual will help train and direct individuals that will be assisting in the birth registration process.
Your Everyday
Prepares, processes, and ensures an accurate birth certificate is created for all deliveries: Obtains parent's legal signature on all official documents when necessary and completes and submits correctly birth certificates within 5 (five) working days of discharge. Maintains and corrects all birth certificates returned to Health Information Management Department within 5 working days of receipt. Contacts physicians if the birth certificate is not signed within 5 (five) days after discharge. Processes, completes, and submits birth certificate according to Louisiana State guidelines within appropriate time frame electronically. Maintains minimal error state rate on daily processing. Fills out Paternity Declaration forms for single mothers unmarried parents as needed within 5 (five) days of discharge and make copies of acknowledgment to be scanned into baby's record. Forwards Paternity acknowledgments to vital Statistics and send a copy to Louisiana Paternity Establishment.
Establishes and maintains effective working relationships with those contacted in the course of work: Communicates clearly and concisely, both orally and written. Understands and follow oral and written instructions. Responds to requests and inquires in a timely manner. Completes data abstracts for outside agencies. Familiar with policies and procedures with regards to Birth Certificate Processing and HIM Operations: Follows appropriate policy and procedures with regards to birth certificate processing and HIM Operations and all Birth Certificate workflows related to Epic. Files and retrieves records, documents, and correspondence in a timely manner and in accordance with specific instructions and established procedures. Assures all birth certificate associated documents are properly filed on newborn records. Navigates through all sections within the LEERS system.
Other duties as assigned: Other duties and projects as assigned, including but not limited to, assisting with other projects as needed, and attending required staff meetings and educational sessions.

MINIMUM QUALIFICATIONS
Required: High School Diploma/GED or equivalent OR 2 years of work experience.Required: 1 year of work experience in a Customer Service-related position such as hospital, clinic, medical office, business services/revenue cycle, front line registration, financial counseling, banking, retail or hospitality OR pursuing degree in a healthcare-related field.KNOWLEDGE, SKILLS, AND ABILITIES
Requires critical thinking skills and organizational skills.Demonstrated knowledge of computer technology and preferred knowledge of MS Office including Word, Excel, and PowerPoint. Highly motivated, self-directed and able to work independently with minimal supervision. Capable of gathering data and making sound decisions in the best interest of the organization.Detail oriented and displays efficiency and accuracy in paper processing. Demonstrate the ability to identify and resolve issues independently and communicate effectively with other team members and management.WORK SHIFT:
