POSITION SUMMARY
The HIM ROI Technician Remote - Process all requests for release of information by locating and retrieving the corresponding protected health information in a timely and efficient manner. Safeguard and protect the patient’s privacy by verifying the release requirements are in accordance with HIPAA guidelines. Must be able to interpret Release of Information Guidelines for validation of all ROI requests received. Verify the accuracy and quality of reproduced work and data entry prior to providing information to the requestor. Ensure that work is performed in accordance with federal and state statutes. Generate cover letters and invoices and mail information to the requestor. Upon receipt of payment, finalize the request and log the payment. Demonstrated ability to maintain a high level of confidentiality regarding patient information. Answer all routine customer inquiries in an efficient and effective manner. Strong organizational /interpersonal skills; attention to detail and the ability to multitask. Position is remote eligible after training and maintaining productivity standards - must be within 100 miles of Toledo.
ACCOUNTABILITIES
Reviews incoming assigned requests for patient health information and screens for all required elements necessary to release information in accordance with state and federal laws (as necessary and applicable). Monitors the ROI queue and completes work assignments. Retrieves the correct and complete patient record from the electronic medical record (EMR) systems and other patient record sources in response to a valid request; verifies correct information has been reproduced before releasing and in a timely and secure manner; provides release of records by the requested means (e.g., electronic, paper copy, etc.) Determines validity of authorization and/or type of request; and verifies patient or request or identity authorized entities (i.e., subpoena, subpoena duces tecum, power of attorney, deposition, affidavits, documentation from insurance companies, workers compensation, requests from patients, doctors and other healthcare entities). Meets compliance requirements by complying with all federal, state and local law, rules and regulations, as well as policies and procedures for the release of health information by applying understanding of such law, and using judgment as to how best respond to a specific request based on the authorization provided for the release of PHI. Accurately and proficiently analyze and interpret the health information to assure appropriate disclosure of health information to attorneys, insurance companies, outside providers of health care and others, as directed by the patient or as compelled by law or regulations. Logs requests, request status and information released into the electronic Release of Information system and as necessary, any other secondary systems. Access various resources within ProMedica to locate health record information which may be found in secondary records, unfilled material, computerized data and dictated but not transcribed documentation in order to obtain time loss information, diagnosis, treatment, physical limitations or other required information requested by attorneys, insurance companies, outside providers and others. Ensures charging and follows-up on aged/outstanding invoices with customers, including outside vendors, individuals, insurance companies, corporations, attorneys, subpoena services and federal and state institutions. Performs quality checks on records before printing/copying the medical record, prior to release of health information. Contacts appropriate department to have any quality issues reviewed prior to completing the request. May need to fulfill the role of custodian of records to include attending depositions, hearings, and/or trials. Supports afterhour HIM call center multi line phone systems and serves as a customer representative for HIM Responds to requests from patients, healthcare facilities and other 3rd party requestors including but not limited to legal offices, insurance companies and regulatory agencies. Performs all other duties as assigned.
