Job Title: Real Estate Assistant

Job Description

We are seeking a motivated and detail-oriented Real Estate Assistant to provide administrative support to our team. The ideal candidate will be responsible for managing work orders, invoices, tenant inquiries, and assisting with various administrative tasks. This role requires strong organizational skills and the ability to work independently. This is a full time position with full benefits and weekly direct deposit pay.

ResponsibilitiesCreate work orders and manage invoices, including coding and working with the client invoicing system.Follow up on items emailed by partners promptly without needing reminders.Utilize resources on the intranet to learn processes and procedures.Provide excellent customer service by answering tenant inquiries.Provide general administrative support under direct supervision.Assist with tenant and vendor customer service.Perform administrative and clerical tasks such as phone support, distributing correspondence, expense reporting, calendar scheduling, meeting coordination, filing, and copying.Maintain tenant, vendor, and property files, including insurance certificates and lease abstracts.Assist with budget preparation by researching costs for supplies and services and obtaining bids as directed.Comply with bid process guidelines.Assist with the preparation of monthly and quarterly management reports.Track and file contracts and insurance certificates, maintaining a follow-up system for expirations.Schedule and coordinate meetings and special events as requested.Essential SkillsAccountingExcel pivot tablesAccounts payableGeneral ledgerSharePointCustomer service orientationInvoice managementMRI software experienceCorrespondence handlingWork order management2 years experience in a similar industryHigh School diploma or GEDBasic skills with Microsoft Office SuiteAdditional Skills & QualificationsExperience with the CBRE Platform preferredAbility to comprehend and interpret instructions, short correspondence, and memosAbility to write routine reports and correspondenceAbility to respond to common inquiries or complaints from clients, co-workers, and supervisorsAbility to understand and carry out general instructions in standard situationsExperience in leasing, property management, and real estate administrationWork Environment

This is an on-site position requiring attendance five days a week, Monday to Friday, from 9 AM to 5 PM. The work environment is professional, supportive, and dedicated to maintaining high standards in the commercial real estate industry.

Pay and Benefits

The pay range for this position is $19.00 - $21.00/hr.
