The histopathology department is looking for an enthusiastic, self-motivated Band 4 Medical Secretary to join the Synnovis Histopathology administrative team at one of the leading national NHS Foundation TrustGuys and St Thomas Hospital based in Central London, with iconic views of the London Eye and Houses of Parliament. The ideal candidate will be a quick learner, good team player and keen to develop their administrative and people skills through interaction with patients and fellow colleagues (both clinical and non-clinical) in support of our diagnostic service This office based role is a patient focused role will give you the job satisfaction that comes from knowing we are putting patients first. You will be assisting a group of scientists/clinician who are experts in histology and pathology which provides an important service for the NHS. Main duties of the job The post holder will help in the day-to-day running of the office and provide support to the Operations Manager. Other main duties to include maintenance and updating of the office protocols relevant to the section, and the implementation of the Departmental Health and Safety procedures, within the office area. The post holder will also provide training, administrative and secretarial duties and support for the service under the direction of the Cellular Pathology Office Manager and Tissue Sciences Office Manager. The post holder will work flexibly with Band 3 Administrative Assistant and Band 4 Medical Secretary to provide cover in times of absence. To liaise with the Office Manager on matters relating to administration and supervision of the office unit, to be responsible for the new or junior staff in respect of office procedures. To liaise with the Trusts Information Technology Unit and the Cerner Pathnet Team on matters relating to the departmental computer. To liaise with the medical and technical staff on all clerical matters (both external and internal clients). The team is based at St Thomas Hospital with iconic view of London skyline.It is a small skilled team of three staff covering the diagnostic cytology and andrology service which is UKAS accredited and one of the leading NHS based Andrology services in the country. Processing over 30, 000 Histological, Renal Pathology and Post Mortems. To inform the Office Manager of staff performance levels. To identify and meet appropriate training and development needs. To organise and implement effective cover to ensure the workload of the specific specialty sections is processed in a timely and efficient manner. To receive and tactfully provide advice and instruction to visitors, staff and patients.2. Secretarial ServicesTo establish and maintain high standards of work within the office area by the communication and receipt of routine, complex or sensitive information. To maintain and update as required standard operating procedures covering all aspects of activities within the office area in relation to the provision of the Histopathology services. To provide secretarial assistance to the Consultants in co-ordination with other secretaries within the department. To liaise with the Multidisciplinary Team (MDT) Meeting co-coordinator and Consultants in identifying cases required for the weekly MDT meetings. To assist the MDT co-coordinator in obtaining any previous Histopathology from throughout the region, as required for the MDT meeting. To maintain appointment diaries. To organize travel arrangements for the sub-specialist Histopathologist when required. To maintain the departmental filing systems to an acceptable standard. To ensure the provision of an effective telephone answering service for all sections of the departments. To maintain professional competency and dexterity in those precision based, physical tasks (keyboard skills), and maintain the levels of concentration required maintaining a quality service3.ClinicalTo enter clinical information and laboratory results onto the Cerner Pathnet System or an alternative database as required.4.Laboratory InformaticsTo enter data onto Cerner Pathnet and report computer problems to the Operations Managers or the Cerner Pathnet team5.ProcurementTo assist the Operations Managers in requisitioning and maintaining adequate supplies of office consumables6.RecruitmentTo be responsible, in conjunction with the Operations Manager for staff recruitment, selection and induction, and thereon supervision and training7.Health and SafetyTo ensure departmental health and safety procedures are upheld To ensure that staff monitor frequent exposure to a potentially highly unpleasant environment, VDUs and chemical substances, and follow safe working practices that limit the daily exposure to biological hazards.8.QualityTo establish and maintain high standards of work in the office9.Training and DevelopmentTo ensure that all other A & C staffs in the office are trained and proficient in the tasks of the Histopathology sections To be responsible for his/her own continuous professional development Person specification QualificationsEssential criteria Good standard of educationGCSE level or above ECDL or equivalent MS Office experience.Desirable criteria LCCI private secretarys certificate/ Diploma/ AMSPAR ExperienceEssential criteria Previous working experience in a secretarial/administrative appointment preferably in a medical environment General familiarity with common office software.Desirable criteria Previous experience in a training role. Previous experience in the organising, supervising and monitoring of workflow within an administrative environment.
