Job Description

Primary Responsibilities: The HOA Specialist will be responsible for managing HOA onboarding and violations as well as tracking necessary information into appropriate systems and spreadsheets   

  

Skills & Competencies:  

2+ years of work experience in a service-related field, preferred   

Knowledge of fair housing and local real estate laws, where applicable.  

Intermediate knowledge of Word, Excel, and PowerPoint; advanced preferred   

Demonstrated strong written and verbal communication skills  

Detail-oriented, with the ability to produce high-quality work in a deadline-oriented environment and an ability to multi-task  

Ability to work in a dynamic and changing environment  

Experience working in a work schedule environment, including in-office operation, weekends, and holidays, based on business need  

  

Essential Job Functions:  

Manage all HOA violations with HOA and tenants themselves  

Sending welcome packets to new tenants and ensuring tenant information is forwarded to the HOAs  

Update the HOA dues tracker with HOA information  

Update CMS with HOA information and documents as needed  

Sorting and following up on all violations, invoices, and complaints (by physical mail, and email inbox) (HOA, City, and County)   

Track violation trends and fines for all markets  

Answering tenant complaints, questions, and concerns  

Sorting and distributing invoices  

  

Key Metrics & Responsibilities  

Track progress in CMS via tasks  

Estimated ~175 violations and subsequent escalations to process per month with communication required primarily to the tenants, the HOA itself, and the appropriate Market Lead (where the property is vacant)  

20-30 Welcome Packets per month to process for those tenants moving into HOA – properties only   

Estimated ~300 invoices/statements are received, reviewed, and need to be routed accordingly per month  

Estimated ~ 50-60 miscellaneous requests per month for assistance and research of HOA-related questions from Acquisitions, Accounting, Customer Service, and Market Leads   

There is an ongoing need to add and or correct HOA contact information in CMS and the HOA dues tracker, as well as an ongoing need to update tenant information with HOAs directly as requested
