Job Summary

The Manager of the Hospitalist Medicine Group (HMG) will play a pivotal role in leading and coordinating the activities of the hospitalist team to ensure high-quality patient care, operational efficiency, and effective collaboration within the organization. The Manager manages all the administrative needs for the HMG and physicians including clinical schedules, quality, revenue and patient-related reports, and day-to-day operation of the department. The HMG manager has the responsibility to facilitate the development and execution of Hospitalist initiatives. The position is responsible for the management of multiple priorities that impact patient care, quality, cost, risk and patient satisfaction. The position is also responsible for data collection and organization of aggregate quality information, as well as preparation and analysis of statistical data that affects quality and utilization of resources. Responsibilities

• Serve as the point of contact between the hospital, and the physicians as it relates to administrative functions (payroll, team scheduling, meetings, paperwork, calendar, etc). • Create and distribute the hospitalist schedule. • Consistently role model the highest level of customer service to all Physician customers. • Support the Medical Director in scheduling meetings and ensuring attendance for hospital. This includes team meetings, hospital committee meetings, Joint Operating Committee meetings, and community outreach meetings. Room reservation and food service should be provided as appropriate. Also, keep meeting minutes at team functions. • Work with the personnel to track committee membership and attendance record for team physicians on various assigned committees. • Support Medical Director and recruiter in scheduling physician interviews and related logistics. • Assure on-boarding logistics are in place for new physicians. • Follow-up with staff to make sure the physicians have pagers, keys, and badges before work and that the pager number is available to the hospital units. • Keep an updated contact list of the hospitalists, and forward appropriate correspondence. • Order office supplies through the Sound on-line Staples system. This includes general supplies, business cards, toner cartridges, and various other items. • Forward billing queries, deficient records notices, death certificates requiring signature, and other medical records information to the appropriate physician to facilitate their completion. • Support Medical Director to forward patient care, staff, and other concerns and issues from outside the program to the Regional Chief Medical Officer and Vice President to be handled appropriately by them. • Assist hospitalists with making sure they have access to the hospital and computer systems and can get to records to which they will need access. • Support the Medical Director in any special projects for the hospitalists as directed and required including development of program manual for team physicians. • Maintain monthly statistical reports for Director and Medical Director. • Maintain and track AP records (CME, dues, and subscriptions for physicians and mid-levels). • Collaborate with Director and Medical Director on decisions regarding office operations. • Maintain accurate physician and mid-level provider files (documentation, licensure, etc.). • Serve as WFM main contact and responsible for payroll for HMG. • Maintain up to date education information for physicians and midlevel providers. • Assist with projects as assigned by Director and Medical Director. • Assist with coordinating and maintaining effective office procedures and efficient workflow. • Complete other administrative duties as assigned in a timely and accurate manner. Operational Oversight: Oversee the day-to-day operations of the HMG, including patient admissions, discharges, and daily rounds. Collaborate with other departments to optimize workflow, enhance efficiency, and address operational challenges. Develop and implement policies and procedures to ensure compliance with regulatory standards and organizational goals.
