**Senior On-Site Service Specialist, Hospitality** **Position Profile:** **Overview:** This role ensures a consistent and high-quality standard of food and beverage setup/service for clients, facilitating smooth delivery of conference and function services. Responsibilities include setting up and breaking down conference rooms according to event orders, maintaining cleanliness standards for kitchens, equipment, and meeting rooms, and performing general office maintenance tasks. Additionally, this role involves high-volume duplicating, production, sorting, and mailing tasks to ensure seamless operations and client satisfaction. **Key Responsibilities:** **Hospitality Services:** + Provide excellent and professional client service at all times. + Lead in coordinating meeting rooms and events. + Train team members on responsibilities and tasks associated with the position. + Set up and break down conference rooms, functions, and events (including tables, chairs, podiums, divider walls, catered food, refreshments, etc.). + Perform general waiting and service duties for food and beverages. + Follow hygienic food and beverage handling procedures. + Assist in cleaning kitchen and function areas as directed. + Manage the conference/hospitality calendar and greet clients and guests. + Conduct conference room sweeps (adjust chairs, wipe down tables, stock supplies, adjust blinds). + Set up and assemble flip charts, whiteboards, and cork boards. + Prepare and break down food for client meetings, parties, and company events. + Maintain and clean kitchen equipment (coffee machines, refrigerators, microwaves, ice machines, etc.). + Load the dishwasher with items used by client personnel. + Order and track inventory for supplies, food, beverages, etc., for kitchens, conference rooms, and pantries. + Perform occasional cleaning duties in the office or building locations (trash removal, dusting, cleaning and restocking restrooms, sweeping and mopping floors, vacuuming, window washing). + Perform other job duties as assigned. **Operations Support:** + Operate high-volume 2D or 3D print and copy machines, ensuring top-notch quality and efficiency. + Provide essential equipment troubleshooting and escalate technical issues promptly for resolution. + Deliver exceptional customer service by addressing inquiries, coordinating service calls, and managing job requests. + Maintain meticulous records, manage inventory, and calculate charges for services rendered. + Collaborate with team members to ensure smooth delivery of completed jobs and support various building functions. + Embrace flexibility by occasionally assisting with meeting room setups, light maintenance, and reception duties. + Uphold safety standards and adhere to protocols while handling equipment and materials, ensuring a secure work environment. **Qualifications:** **Must Have:** + High school diploma or GED. + Minimum of one year of relevant work experience. + Proficiency in basic computer skills, including MS Office Suite. + Strong communication skills and ability to thrive in a fast-paced, customer-centric environment. **Nice to Have:** + Previous experience in hospitality, copy jobs, or related fields. + Basic knowledge of electronics and copier equipment repair. + Valid driver's license with minimum auto insurance coverage per company policy. **Knowledge, Skills, and Abilities:** + Clear verbal and written communication skills. + Ability to work in a fast-paced environment. + Excellent customer service and organizational skills. + Basic computer and office equipment skills. + Ability to meet/exceed customer expectations. + Ability to follow directions and maintain a clean and safe work area. + Ability to work as part of a team or individually. **Working Conditions and Physical Demands:** + Typically works in a professional office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels. + Requires internal contact within the department and with client personnel, as well as external contact with customers, agencies, vendors, and the general public. + Physical effort required, such as walking, standing, bending, reaching, lifting, or carrying objects up to 75 lbs or more (e.g., office furniture, conference room fixtures, equipment, supplies). + Walking and pushing a 30-pound refresh cart to specific rooms, including conference rooms, kitchens, and break stations. + Ability to walk or stand for long periods. + Requires moderate dexterity and regular application of basic skills (e.g., postage machine, office equipment, minor maintenance on conference room furniture, eye/hand coordination).
