As a Hospitality Operations Coordinator for our Round Lake Farms and Stone Prairie locations, you'll play a critical role in ensuring our events run seamlessly. You'll work closely with event managers, food service teams, and operations staff to coordinate every aspect of event logistics and execution. Your efforts will be key to creating unforgettable experiences at our venues.
THE DAY TO DAY...
Event Coordination:
Serve as the primary point of event day front of house, set up and/or break down
Coordinate event details, including setup, timeline, and execution, to ensure seamless operations
Oversee vendor arrangements and logistics, including catering, entertainment, and décor
Address any on-site issues or emergencies
Implement contingency plans to handle unforeseen circumstances and ensure events proceed smoothly
Communicate effectively with event managers, operations & food service team members
Operational Management:
Ensure the venue is prepared and set up according to client specifications and venue standards
Conduct pre-event walkthroughs and post-event evaluations to ensure all needs were met
Track and manage inventory of event supplies and equipment
Assist with reordering of beverages, garnishments, etc. with Operations Manager as needed
Assist in the management of day-to-day operations of the venue, including staff coordination and facility maintenance
Provide training and guidance to new and existing staff members as required
Assists with Ariens Nordic Center Trailhead Operations as private event demand allows
Execute open and/or closing duties for events at all venues as needed.
THE QUALIFICATIONS...
A bachelor’s degree in event management, hospitality, business administration, or a related field is preferred
The following certifications must be obtained within the first six months of employment; Operator's License, DOT Certification, and CRP/First Aid Certified
Exceptional organizational and multitasking abilities.
Strong communication and interpersonal skills.
Proficiency in event management software and Microsoft Office Suite.
Detail-oriented with a strong sense of responsibility
Able and willing to work flexible hours, including evenings and weekends
Guest-oriented and service-minded
Positive attitude, strong problem-solving skills, and the ability to work under pressure
