Hotel Sales and Catering Coordinator - Doubletree Naples

Compensation Amount:

20.00 USD Hourly

Job Summary:

The Sales and Catering Coordinator will be responsible for providing support by managing administrative tasks, generating leads, coordinating meeting schedules, preparing proposals, responding to inquiries, and facilitating bookings for rooms and events. They will work with the hotel team to ensure consistent, high-level service throughout all phases of hotel functions, contributing to achieving sales and revenue goals.

Job Description:

ESSENTIAL FUNCTIONS

Respond to inquiries- inbound phone calls, written, electronic (Email), and fax. Draft and send well-constructed and professional correspondence and proposals for clients/potential clients under the direction of Supervisor.Maintain contact with clients on a regular basis to develop a relationship between the clients and hotel staff with the utmost in professionalism and accuracy.Schedules property tours and organizes catering requests.Maintain an accurate client files and catering documents as directed by the manager. Maintain accurate records for all catered events.Outline all details of catering events in the form of BEO’s and other reports so as to provide timely information to hotel departments regarding set-up, purchasing, and scheduling needsMaintain accuracy of catering events information in DelphiProvide outstanding customer service to clients while they are in the hotel to ensure total guest satisfaction.Assist in building strong relations with other hotel departments, employees, and outside agencies and vendors.Coordinate with the various departments of the hotel ensuring smooth operations before, during and after an eventResponds to all catering, event, and in-house function needsParticipate in and represent the hotel and its facilities at local events. Knowledge of local market and its happenings.Prepares catering proposals, contracts, invoices, banquet event orders and resumes.Communicates all event details effectively with each department to ensure group needs are met.Communicates effectively verbally and in writing with clients in a timely manner.Reconciles and communicates all event function costs and expenses pre and post events for proper billing

SKILL AND KNOWLEDGE REQUIREMENTS INCLUDE

High School Diploma or GED required. Culinary/Hospitality/Business Administration or Associate\'s degree in food service or related field preferred.   Clerical skills including typing, filing, and maintenance of records.Computer proficiency with the ability to utilize MS Word, Outlook, and Excel.Demonstrated talent for interacting with a wide variety of people; ability to effectively organize and coordinate multiple priorities; ability to learn and develop new skills; ability to problem solve.Excellent interpersonal, administrative, telephone and other communications skills.

PHYSICAL AND MENTAL REQUIREMENTS

Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the unit.  Bend, lift, carry, reach/extend arms and hands above shoulder height frequently, or otherwise moves in a constantly changing environment. Lifting, carrying, and pushing up to 15 lbs. regularly, 20-25 lbs. frequently, and up to 35 lbs. occasionally.Ability to sit at a desk in front of a computer for extended amounts of time. Reading and writing work-related documents in English.Speech recognition and clarity, including the ability to understand the speech of customers and co-workers and the ability to speak clearly so that you can be understood by customers and co-workers in English.Constantly communicates and receives verbal communication with other employees in fast-paced environment.Physical presence at the job site is essential to perform job duties.
