**Position Purpose**
This individual will be responsible for overseeing various administrative tasks, supporting HR processes, and ensuring smooth communication across departments\. The ideal candidate will have experience in office administration, HR policies, and employee relations, with a passion for delivering excellent service and fostering a positive work environment\.
**Duties & Key Responsibilities**
**Administrative Support:**
**Office Management:**
Manage office supplies and equipment, ensuring that necessary items are available and organized\.
Coordinate meetings, prepare agendas, and take minutes asrequired\.
Assistwith the preparation of reports, presentations, and other documentation for senior management\.
**Data Entry and Record Keeping:**
Maintainaccurateemployee records, including personal information, employment history, and training records\.
Update and manage databases, files, and other important documentationin accordance withhotel policies and legal requirements\.
**Communication:**
Serve as the primary point of contact for staff inquiries related to HR and administrative matters\.
Support internal communication efforts, ensuring all employees are informed of relevant hotel updates, policies, and events\.
**Guest Services Administration:**
Assistwith guest\-facing administrative tasks whenrequired, including handling guest feedback, complaints, and special requests\.
Help coordinatelogisticsfor events, conferences, or meetings hosted by the hotel\.
**Human Resources Support:**
**Recruitment & Onboarding:**
Assistwith recruitment efforts, including posting job openings, reviewing resumes, and scheduling interviews\.
Support the onboarding process for new hires, ensuring they receive necessary orientation and training to integrate smoothly into the team\.
**Employee Records & Benefits Administration:**
Maintain employee personnel files, including records of job performance, promotions, and disciplinary actions\.
Assistemployees with benefits, changes, and queriesregardingpayroll, insurance, and leave policies\.
**Training & Development:**
Support the implementation of employee training programs, including tracking progress and ensuring compliance with hotel standards\.
Assistin coordinating development opportunities, such as workshops, seminars, and skill enhancement initiatives\.
**Employee Relations:**
Foster positive employee relations by supporting conflict resolution efforts andmaintaininga harmonious work environment\.
Serve as a liaison between management and employees to ensure concerns and issues are addressed ina timelyand effective manner\.
**Compliance & Policy Adherence:**
Assistin ensuring compliance withlaws, hotel policies, and safety regulations\.
Help with preparing reports and audits related to employee attendance, performance, and workplace safety\.
**General Administrative Functions:**
**Payroll Support:**
Assistwith the collection and verification of timesheets, ensuring accuracy beforesubmittingfor payroll processing\.
Monitor attendance, vacation, and sick leave records for employees\.
**Office & Staff Coordination:**
Coordinate schedules, meetings, and appointments for management and staff\.
Oversee travel arrangements for employees whenrequired, including accommodations and transportation\.
**General Office Assistance:**
Assistwith other administrative duties asrequired, ensuring smooth daily operations and efficient workflow within the hotel\.
**Requirements**
Fluent in written and spoken English to meet business needs\.
Good communicationskills, both verbal and written\.
Good relationship with the local labor bureau and government agencies\.
Thorough knowledge of federal,stateand local laws\.
Thorough knowledge of salary, employment and benefits administration and payroll\.
Mustpossessbasic computational ability\.
Ability to maintain excellent relations with associates and maintain team member and guest confidentiality at all times\.
