The HR Administrator/Corporate Office Manager will perform a variety of professional administrative tasks in support of the organization's human resources function and manage our corporate office’s operations. This role is approximately 90-80% HR administration and 10-20% office management (exact breakdown subject to need and managerial discretion). This is an in-office role which reports to the Director of Human Resources. **Job Duties and Responsibilities:** _HR Administration (90-80%):_ + Maintain accurate and up-to-date human resource files, records, and documentation + Support HR programs, initiatives, and special projects through coordination, scheduling and other organizational tasks + Serves as a first point of contact for employees with the HR team with a focus on customer service + Answers and directs departmental phone calls + Manages the HR inbox/help desk platform, to include responding to inquiries (including those related to HR policies, benefits and procedures), and delegating/escalating inquiries to other team members as needed + Supports HR transactions, such as onboarding processes (including I-9 verification), benefits enrollment, offboarding, other HR processes and ad hoc projects as assigned + Assists with talent acquisition processes, including scheduling interviews, managing pre-employment background checks + Assists in the preparation of human resource reports + Supports HR compliance efforts as they relate to federal and state regulations and client requirements (i.e., documentation, policy maintenance, notices, and privacy) + Provide clerical support to the HR department, including data entry, filing, document management, and retention policies + Provides quality management support to the HR department, including proofreading documents and auditing reports, files, and records to ensure compliance and accuracy + Assist with planning and execution of special events such as benefits enrollment, employee recognition events, and company meetings + Identifies, recommends, and implements HR administrative process improvements in collaboration with HR function leaders + Manages timely processing of HR financial matters, including credit card reconciliation and invoice processing + Other duties as assigned _Office Management (10-20%):_ + Welcomes and escorts corporate office guests as needed + Manages office supplies inventory and place orders as needed + Supports corporate office new hires and their managers using the tools provided through our orientation program + Contributes to fostering a vibrant and positive workplace culture by organizing office events and initiatives + Coordinates logistics for corporate office business meetings, including reserving spaces, ordering food, setup, cleanup, and document preparation + Handles mail and package shipment/delivery and receipt + Maintains office equipment and coordinate maintenance and repairs + Supports Legal and Finance teams in coordination and management of office lease agreement, vendor contracts, and relationships for office services + Manages and monitors office security systems + Other duties as assigned **Physical Requirements:** + Prolonged periods of sitting at a desk and working on a computer + Must be able to lift up to 30 pounds at times + Ability to alternate between sitting and standing as needed **Required Skills and Abilities:** + Ability to manage sensitive and confidential information with professionalism + Exercises strong judgement in directly handling and/or escalating matters to others + Understanding of human resources principles, practices, and procedures + Curiosity and interest in learning the business that the role supports (both the HR team and Schnabel generally) + Excellent interpersonal and customer service skills + Excellent verbal and written communication skills + Excellent organizational skills and attention to detail + Ability to work independently and as part of a team + Excellent time management skills with the ability to meet deadlines + High proficiency with Microsoft Office Suite and Adobe software + Experience with vendor management + Ability to operate general office equipment + Notary or ability to obtain notary commission within one month of hire + Provide remote administrative support for other offices as requested + Project management skills preferred + Experience working for a government contractor preferred **Education and Experience:** + Bachelor's degree in human resources, business administration, or a related field preferred + 3-5+ years of experience in HR administration and office management + SHRM-CP credential preferred The compensation range for this position is between $28/hour to $37/hour. Compensation for this position may vary based on geographic location and other factors.
