Eligibility for Company matching 401K benefit after 3 months of employment. **Position Overview:** The HR Assistant is responsible for supporting the Human Resources Department in the management of onboarding candidates and ensuring the company’s compliance with all transportation and safety regulations, to include but not limited to DOT, OSHA and all state and federal regulations. **Essential Functions:** + Facilitate the onboarding process for all new hires, ensuring timely and accurate documentation. + Maintain organized files containing identification documents, emails, and pre-employment results. + Conduct all pre-employment background checks. + Complete online E-Verify module for New Hires. + Coordinate communication with candidates regarding offer acceptance, new hire paperwork, and orientation scheduling. + Prepare and ensure the completion of new hire checklists and necessary documentation. + Collaborate with the Hiring Manager to resolve missing or incomplete employment information. + Work with IT and Accounting teams to ensure new employees receive the necessary equipment and systems access (e.g., laptop, phone, fuel card, email) + Ensure all DOT and Non-DOT new hire paperwork is completed accurately. + Maintain drug screen logs and ensure scheduling of required drug screenings for new hires. + Monitor compliance with DOT, FMCSA, Driver Qualification documentation, Motor Vehicle Reports, and Drug and Alcohol testing requirements. + Take appropriate actions when pre-employment results do not meet company standards, including notifying candidates and managers, and halting the onboarding process if necessary. + Create and distribute weekly new hire orientation rosters. + Conduct regular internal audits to verify adherence to compliance standards and recommend process improvements. **QUALIFICATIONS:** + Proficient in Microsoft products (Outlook, Word, Excel, PowerPoint). + Familiarity with standard office software and Human Resource Information Systems (HRIS) and Applicant Tracking Systems (ATS). + Understanding of HR practices and procedures, with a preference for experience in DOT and FMCSA regulations. + Strong communication and interpersonal skills. + Excellent organization and time management abilities, with attention to detail and the ability to manage multiple priorities. + Capable of handling confidential information with discretion. + Customer service-oriented with a professional demeanor and team-focused mindset. + Bilingual skills are a plus. **Education/Experience:** + Associate Degree preferred; or a combination of education and proven experience in lieu of college degree will be considered; safety certifications a plus. **Physical Requirements:** The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
