Build your career at Irby Construction. About this Role The Human Resources Assistant is responsible for maintaining accurate and compliant employee records within the HRIS (JDE) system. This position ensures the timely processing of employee status changes, assists in managing onboarding documentation, and supports compliance with employment laws. Additionally, the role assists with HRIS updates, reporting, and general administrative support related to employee records. What You'll Do + Maintain and update personnel records in compliance with company policies and applicable legal requirements. + Process employee status changes, including new hires, terminations, and internal transfers, within the HRIS (JDE) system. + Prepare and organize onboarding documentation for new employees, ensuring accuracy and completeness. + Assist with HRIS system updates, testing, and troubleshooting to resolve employee record issues. + Generate and maintain HR reports from the HRIS and other data sources as needed. + Support compliance with I-9 regulations, employee file retention policies, and employment law requirements. + File and manage employee documents, ensuring confidentiality and proper recordkeeping. + Maintain and update employment law posters in accordance with regulatory changes. + Respond to employee inquiries related to records, system access, and general HR information. + Monitor employee records for accuracy and compliance, identifying and correcting discrepancies. + Research state-specific employment laws to ensure ongoing compliance. + Complete new hire reporting, including E-Verify and state-specific reporting (e.g., MS New Hire Reporting). + Assist with W-2 maintenance and the annual distribution process. + Submit and track system support requests (Footprint tickets) for HRIS-related issues. + Provide administrative support for HR projects and other assigned tasks as needed. What You'll Bring + 1-2 years of experience administrative support or a related field required. + 1-2 years of experience in Human Resources preferred. (internships or coursework may be considered). + Strong attention to detail and organizational skills. + Proficiency in Microsoft Office Suite (Word, Excel) and experience with HRIS systems (preferably JDE) or other database programs is a plus. + Effective written and verbal communication skills. + Ability to handle confidential information with discretion. + Strong customer service skills with the ability to address employee inquiries in a professional manner. + Ability to meet deadlines and manage multiple tasks in a fast-paced environment.
