The Onboarding process is key to set a good start for every new hire and to develop a learning culture throughout the organization. 

 

Working in a fast-paced trading environment requires the jobholder to be able to work autonomously as well as part of a team. The position requires daily interaction with other departments within the organization as well as with external providers.

Activities

We are looking for our HR Onboarding Specialist to join, our Training team based in Geneva. Our team provides HR services to two entities: Trading & Shipping as well as TotalEnergies Gas & Power based in our headquarters in Geneva and our trading hubs in Houston, Singapore and Dubai. 

Reporting to our Training Manager, you will play a key role, in managing the end-to-end onboarding process, ensuring a great experience for new employees and a smooth start into their roles. 

As an Onboarding Specialist, you will be the first point of contact for every new hire. Your responsibilities will include welcoming them properly, making them feel comfortable, and addressing their questions.

You will also work on developing new projects related to training.

 

 

Your main missions will be to: 

 

ONBOARDING PROGRAM

Organise onboarding sessions to provide the most engaging and enjoyable welcome to our newcomers Coordinate onboarding journey with the various stakeholders involvedHelp in creating standards for core onboarding contentEnsure timely execution and completion of a seamless workflow for each new employeeManage the HSE sessions for new T&S and TGP arrivals on the Geneva siteOrganise T&S integration seminars in GenevaManage the logistical organisation of sessions and seminars: invitations, coordination with speakers and guests, venues/rooms booking and lunches 

 

SPECIFIC INDUCTION PROGRAMS

Participate in the induction program for new tradersParticipate in the deployment of the Graduates induction program

 

KPIs and REPORTING:

Define and monitor KPIsEnsure the data are correctly uploaded to our Learning Management System in order to facilitate reportingFollow up with new hires to gather and analyse feedbacks to identify potential process improvementsProvide regular reporting and project updates to team manager and senior management

 

CONTINUOUS IMPROVEMENT:

Identifying innovative and creative new ways to onboard new employees/reach a more scalable and measurable onboarding experienceActing as a subject matter expert and making recommendations on how to improve process efficiencyParticipate in all other initiatives related to the development of training projects Candidate Profile Master degree holder from a business school, engineering school, or universityPrior successful experience of 3 to 5 years in HR or in a Training departmentOutstanding organisational skills, rigor and a strong attention to detail Strong ability to work autonomously, to organize multiple training sessions at the same timeAbility to build a strong network internally and to convey inspirational messages to new joinersAbility to manage across the board with a genuine customer service spiritCreative mindset and hands-on mentality.  A previous experience in training project management will be highly considered as well as experiences in leading and facilitating training sessions.Proficient in Microsoft Office/Suite.Fluent in French and English.
