HR Service Representative

We’re rapidly expanding and we need great people to join our team. The HR Services Representative is responsible for delivering VIP team member support services to internal clients. The incumbent in this role provides frontline support by responding to HR-related employee inquiries received via telephone and/or email; inquiries may include questions regarding benefits, compensation, payroll, learning and development, talent management, employee relations and other HR functional areas. This incumbent also provides self-service solutions for employees that support organizational administration and data management related efforts to ensure transactional accuracy of team member data in Human Capital Management (HCM) system. The HR Services Representative also provides training services related to the organization's HCM system. **ESSENTIAL JOB DUTIES/RESPONSIBILITIES:** + Responds to employee questions using general working knowledge related to paid time off (PTO), payroll, disability, benefit programs, open enrollment, performance, compensation, etc., and partners with HR Services Manager to resolve or escalate cases to meet or exceed team KPIs. + Processes job and pay related transactions into HCM system. + Prepares, finalizes and uploads Employment Agreements (EAs), job and/or comp change acknowledgments and other documents. + Answers incoming phone calls, manages incoming cases and responds to general HR-related inquiries/questions regarding ChenMed policies and procedures. + Educates team members on benefits, leaves of absence, payroll, HR processes and updated policies/procedures. + Assists team members and managers with HR and Payroll related corrections. Identifies and reports transactional data inaccuracies; works with initiator to correct and resubmit. + Participates in New Hire Orientation (NHO) activities to greet/welcome new team members and assist with I-9 and other new hire documentation support. Aids in completing forms and processing them into the HCM system or with 3rd party suppliers. + Conducts weekly audits of I-9 documents to ensure and maintain company compliance with the Federal Government – USCIS. + Supports testing of HCM modules for software releases or new functionality. Collaborates with HRIS to identify and report issues and to mitigate future problems. + Identifies user trends, communicates gaps in processes and recommends training and/or improvement opportunities. Understands and drives the sharing of best practices across functions to facilitate continuous improvement. + Documents, monitors and manages ServiceNow (SNow) cases. Ensures all case details are accurately and timely updated according to established timelines, metrics and goals. Maintains communication with employees and other stakeholders on case progress. + Performs other duties as assigned and modified at manager’s discretion. **KNOWLEDGE, SKILLS AND ABILITIES:** + Competent-level business acuity + Comprehensive knowledge and understanding of general/core operational procedures and job-related functions, practices, processes, procedures, techniques and methods + Strong understanding of HR processes, workflow and HRIS database design, structure and functions + Working knowledge of company policies related to benefits such as PTO, as well as compensation, payroll and performance + Excellent critical thinking and decision-making skills + Exceptional people skills; ability to operate with a high degree of tact, courtesy and diplomacy + Exceptional customer service skills with a passion for serving others with initiative-taking solutions + Exceptional verbal and written communication skills + Strong organizational and time management skills; ability to manage multiple tasks simultaneously, set priorities and meet deadlines + A high degree of emotional intelligence, integrity, sound judgment and discretion regarding the handling of confidential information + Ability to identify and resolve problems + Ability to collaborate with a team to meet departmental goals + Ability to operate successfully under limited supervision for routine situations + Ability to make appropriate and timely decisions according to department standards, procedures and policies + Proficient skill in Microsoft Office Suite products including Excel, Word, PowerPoint and Outlook; competent in other systems required for the position + Ability and willingness to travel locally, regionally and/or nationally up to 10% of the time; flexible to work evening, weekends and/or holidays as needed + Spoken and written fluency in English **EDUCATION AND EXPERIENCE CRITERIA:** + High school diploma or GED equivalent required + BA/BS degree in a Human Resources or related field preferred + A minimum of 2 years of work experience in an HR-related capacity required + Workday HCM or similar system transaction experience required + Salesforce, ServiceNow or similar ticketing case management system experience strongly preferred We’re ChenMed and we’re transforming healthcare for seniors and changing America’s healthcare for the better.
