**What You’ll Be Doing**
The HR Shared Services Specialist supports day-to-day human resources (HR) operations and special projects. This position will be responsible for providing HR and administrative support, including HR processes with data entry directly into the human resources information system (HRIS), onboarding, general HR inquiries, and HRIS special projects. This role will support key HR processes across hiring, onboarding, and offboarding, including document preparation and consistent process execution.
**During a Typical Day, You’ll**
* Manages HR transactions and processes efficiently including:
o Support new hire onboarding, as well as conduct new hire orientation as needed.
o Perform employee record maintenance and new hire setup, including agency employees and contractors.
o Create and maintain employee files and audit new hire paperwork for accuracy and completion prior to filing.
o For US hires, ensure I-9 compliance by verifying all information is entered accurately for new hires within the first 3 days of employment verifying any expiring I-9 documentation and accurately and appropriately updating the I-9 form.
o Ensure all paperwork for employee status changes is complete, logged, and filed appropriately using established checklists.
* Ensure accurate and timely data entry, updating, and maintenance of employee data in HR systems (Oracle EBS) adhering to all applicable regulations and staying informed on HR legislation.
* Provide support for HR inquiries from employees and other stakeholders.
* Ensuring compliance with HR Policies and procedures.
* Participating in continuous improvement initiatives for HR processes, programs, and/or policy/procedures documentation.
* Collaborate with internal and global partners to support payroll, recruiting, and benefit processes.
* Track and maintain up-to-date information on employee changes as well as resolve manager and employee questions within a defined timeline.
* Assists with any HR compliance audits as required.
* Update and distribute employee change reports.
* Assist with on-site employee engagement activities.
* Answer basic benefits questions for employees seeking assistance escalating as needed to the Benefits team.
* Assist employees with questions on savings plan/retirement plan processing which may include reviewing and processing loan applications, the annual payout procedures, or getting enrollment information to the appropriate vendor.
* Refer employees with employee relations issues to their manager, appropriate HR business partner, or the employee relations hotline.
* In the US, ensure unemployment claims are accurately responded to with proper documentation in a timely manner and coordinate with the appropriate business partner when claim decisions and/or hearings arrive.
* Maintain confidentiality of all employee-related issues.
* Track and facilitate the Tuition Reimbursement process, ensuring correct documentation is received and administered to the policy.
**What You Bring to the Role**
**Education**
* US: Associate of Arts or Associate of Science degree required, preferably in Human Resources, Organizational Development, or Business Administration or equivalent work experience.
* UK: Further Education college or similar: A Levels/ Highers/ ONC
* South Africa: Further education and training - NVQ Level 5: A Levels / National Certificate / Occupational Certificate.
**Experience**
* 1 year or Practiced in Human Resources administrative support experience is required; 2 years is preferred
* Intermediate-level proficiency in navigating Microsoft Office Products (Outlook, Word, and Excel) is required.
* Human Resource Information Systems (HRIS) experience is preferred.
