We are seeking a highly organized and detail-oriented HR Specialist: Leaves & Compliance Administrator to join our HR Operations team. This individual will be responsible for managing and overseeing the organization’s leave of absence programs. This includes managing employee leave requests, maintaining accurate records, and ensuring that the company adheres to legal requirements in administering various leave types, such as Family and Medical Leave Act (FMLA), short-term disability (STD), workers compensation and other company-specific leave policies. In addition, this role will be responsible for Human Resources compliance reporting to government agencies such as EEO-1, OSHA logs, DOL/BLS, OEWS as well as OIG checks and similar requirements. Responsibilities Include: Leave of Absence Administration Administer all employee leaves, including but not limited to FMLA, short-term disability, state leave programs, long-term disability, and workers' compensation - ensuring proper documentation is provided and procedures followed. Serve as the primary point of contact and guidance for employees and managers regarding leave of absence requests and return to work processes for employees. Manage the leave process end-to-end leave process, from eligibility determination to employee return-to-work planning, guidance and support. Maintain a clear and accurate tracking system for employee leave, ensuring timely and accurate documentation and coordinate with the appropriate stakeholders to ensure proper processing before, during, and after leaves (e.g., benefits admin) Collaborate with HR Business Partners, managers and healthcare providers to facilitate employees’ successful return to work following extended leaves and to ensure consistent application of accommodation procedures. Serve as the subject matter expert on managing requests for reasonable accommodations and overseeing the interactive process with employees and managers. Accommodations, Workers Compensation, & Unemployment Administration: Review requests for work accommodations, including transitional work assignments and/or long-term accommodations Engage with appropriate stakeholders during the ADA interactive process, including understanding and explaining reasonable accommodation, undue hardship, and the reassignment process. Provide proficient and cost-effective accommodation recommendations that both support the team member and the business. Educates and influences internal business partners to support a final determination of reasonable accommodations. Oversee workers compensation program, by filing claims and communicating with vendor as employees/managers. Reconcile annual workers compensation audit Compliance Guidance & Oversight: Advise on federal, state, and local labor laws, including FMLA, ADA, Workers' Compensation, and other relevant leave and HR compliance laws. Ensure HR policies and procedures related to employee leave follow all applicable regulations. Advise and educate management on legal requirements regarding employee leave, accommodation, and return-to-work procedures. Complete annual required compliance reporting such as EEO-1, OSHA logs, DOL/BLS surveys, OEWS reporting. Use vendor partner to complete monthly OIG required checks for personnel. Monitor e-verify and ensures compliance with I-9 reporting requirements. Work with the organization’s Legal and company Compliance team to ensure that policies and procedures are updated as it relates to HR operations and policies within our programs and departments. Partner with the Legal/Compliance and HRBP teams during audits or surveys (e.g., Joint Commission, state, or other governing bodies) of our facilities to support preparation for audits, successful completion of audits, and/or any remediation required. Compliance Reporting, Documentation, and Evaluation: Prepare and maintain compliance-related reports, including FMLA utilization, leave trends, and absence data. Prepare and provide reports for internal audits, management, or legal purposes. Keep detailed records of communications, approvals, and documentation regarding leaves of absence. Produce and manage reporting metrics and analytics for leave cases. Recommends program or plan enhancements that positively impact the efficiency and quality of service delivery and satisfaction in the leave experience. Identifies, coordinates, and assists with creating internal training materials, communications and documents related to leave and accommodation management. Leave of Absence Administration : Maintain confidentiality of sensitive employee leave and medical information. Qualifications: Education: Bachelor’s degree Experience: Minimum of 5 years of experience in human resources, with a focus on compliance, leave of absence management, or benefits administration. Strong understanding of federal and state leave laws, including FMLA, ADA, Workers’ Compensation, and other leave-related legislation. Past experience compiling & submitting compliance reporting Experience in Healthcare setting Skills and Abilities: Knowledge of HR systems and leave tracking software. (ADP Workforce Now a plus!) Strong attention to detail and ability to manage multiple tasks simultaneously. Excellent communication and interpersonal skills, with the ability to build trust and credibility with employees, managers, and senior leaders. Ability to maintain confidentiality and handle sensitive information with professionalism and discretion. Strong organizational and time-management skills. Ability to work independently and as part of a team. Problem-solving and critical-thinking skills.
