Job Description
Reports directly to HR Director Baltics and Ukraine.
Responsibilities:
HR Generalist responsibilities for Baltics and Ukraine affiliate:
Talent Acquisition support (collaboration with internal recruiters where required, support in Onboarding, ensuring IT accesses are set etc.).HR suppliers management (e.g. personnel lease companies, benefits providers) - new vendors creation where required , PO creation process management, agreement reviews. Collaboration with the Purchasing Team.Employment agreements/ documents administration.Coordination with HR Service Center on all the necessary changes in HR system to ensuring accuracy of data.Administrative support with HR related reports, communications, regional and global requests.Local Personnel Records Management for Ukraine (AbbVie and Allergan entities in Ukraine):
New employees onboarding (signing document & policies, organizing training with other functions, arranging workplace).Time & Attendance management.Personnel orders - print, store, perform orders registration.Labor books - store, fill, prepare verified copies on request.Manning tables - coordinate with local provider on preparing table, print and store.Processing addendums to employment agreements - send data to local provider, print, sign and store agreements.Personal files of employees - getting copies of documents and storing them.Outstaffing - monthly approval for contractors (worked time & calculations).Vendor management - annual agreement prolongation, POs, communication.Act as local EHS contact.Act as local labor legislation subject matter expert, track changes, act as an adviser to managers on labor law related matters.Payroll Management for Allergan entity:
Manage all payroll related processes (timesheet, maintenance of contingent worker contracts, vacations, sick leave, payments and deductions, etc.).UKRSIBBANK cards — communication with the bank, opening and closing Ukrsibbank payroll project cards for employees, changing the card rate.Sick leave — communication with staff, preparation of Protocols, payment of sick leaveBusiness trip — consent form, travel log, travel orders.Organization of corporate events in Ukraine (e.g. Culture events, year-end celebration etc.):
Local Communication champion/ support in Ukraine.Preparation of documents for obtaining critical enterprise status and employee deferment.Responsible for preparing and submitting the necessary documentation for the company to obtain critical enterprise status.Ensure compliance with legal requirements and coordinate with relevant government authorities.Manage the process of reserving employees from military conscription in accordance with applicable regulations.Qualifications
University degree with at least 3 years’ experience in HR administration area in international pharmaceutical company preferred including work with company provided systems, databases, documentation management and payroll.Knowledge of local labour legislation.Excellent administrative, analytical and data processing skills.Capability of handling multiple priorities, thorough attention to detail and high standards of accuracy.Strong interpersonal skills with the ability to interact with cross-cultural and cross-functional teams.Excellent written/oral communication, presentation skills.Excellent Ukrainian and English languages.IT conversant.
