Office Manager, HSS Orthopedics Now

Hybrid  

Full-Time on Site

 

Overview:

HSS Orthopedics Now provides access to care within 72-hours for patients with an undiagnosed injury or sudden onset of pain to receive an initial diagnosis and treatment; if appropriate, patients are then referred to the right level of care at the right time.

Reporting to the Director of Program Development and Clinical Innovation within Ambulatory Services, the Office Manager for HSS Orthopedics Now is part of an administrative team supporting the program’s advanced practice providers across multiple locations.  Our Office Managers follow-up on each patient to coordinate and schedule the next step(s) of their treatment plan within the HSS ecosystem, preventing patients from having to navigate the healthcare system on their own.

Given the extended hours, multiple locations, and immediate access goals that are unique to this program, Office Managers are required to use their independent judgement based on the patient and provider needs of the program. This position is primarily an in-person role with the flexibility to work from home based on proven productivity levels.

 

Responsibilities:

 

Patient Management (67%)

Pre-appointment preparations to help expedite visits and help redirect inappropriate patients as necessaryCoordinate and directly schedule patient referrals to MDs, PT, Advanced Imaging ServicesComplete MRI authorizations for patients obtaining images at non-HSS facilitiesScreen incoming messages from patients and internal departmentsObtain results and upload to patient’s chart for follow-up provider review

Provider and Program Administrative Support (33%)

Monitor and track patient referral patterns to ensure next appointments are scheduledManage timekeeping and assist with provider vacation coverage to ensure session coverageData gathering and analysis to support program leadershipMonitor patient satisfaction scores, and escalate as appropriateConfirm final radiology imaging reports are reviewed by providers and encounters are closed Qualifications Associate’s degree required, Bachelor’s degree highly desirable. 5-7 years physician office experience may be considered in lieu of education.Self-motivated, detail-oriented, and pragmatic; continuously seeking professional growth opportunitiesStrong organizational and problem-solving skills, with ability to derive practical solutions independently in a fast-paced environment; escalating issues appropriately when neededMust follow through with assignments to completion, going above and beyond for critical tasks and for patient care needsAdherence to patient privacy and HIPAA protection of data, information per HSS policiesStrong computer and internet skills including proficiency with Microsoft Office productsSuperior communication and customer service skills

Desired Qualifications/Skills:

Epic EMR experienceFamiliarity with medical terminology and medical billing/insurance is helpful; the ability to learn and apply new information quickly Other Requirements #LI-Hybrid Pay Range - Minimum USD $30.75/Hr.
