Job Overview:
We are seeking an organized and detail-oriented Human Capital Coordinator to remotely support the People Services Team at Lippincott based in the U.S. As part of the People Services team, the Human Capital Coordinator plays a critical role in creating and maintaining employee files, entering data requests for input into the HRIS Workday (i.e. recording employee status change requests), tracking time-off information, supporting the career review process and acting as a point of contact for people services related questions to Lippincott’s employees globally.
The Human Capital Coordinator will be required to work from the Mexico City office at least two days per week.

Key Responsibilities:
Human Capital operations
Create and maintain employee electronic files
Work with OW HC Ops representative to update employee data information in Workday
Create ET transactions for: new hires, terms, ICs, salary increases, special bonus payments, transfers, dept/title changes, LOAs
Track vacation information for all US employees
Submit monthly CA sick time report
Update and maintain master vacation tracker
Upload annual accrual file and input accrual information for new hires throughout the year
Post holiday office closings on People Services teams channel, etc.
Maintain Global holiday calendar
Coordinate LOA process for maternity, paternity, and unpaid leaves
Post baby announcements on People Services Teams channel
Coordinate transfers, relocations, anywhere month requests (work with OW compliance committee on approvals, update tracking sheets)
Maintain relevant systems and trackers with active employees (HR staff summary, intranet people page, culture amp, anniversary reports)
Re-verify I9s as needed for employees on visas
Maintain People Services team budget tracker
Complete verification of employment letter requests & provide information to OW for unemployment claims
Track Independent Contractor information for compliance trainings (ask MMC to remove them from lists quarterly)
Post and maintain labor posters for NY office
Answer employee questions and help with ad-hoc employee requests
Benefits administration
Maintain and update new hire benefits presentation
Present benefits overview to new hires
Create and send out comms for benefits annual enrollment (host annual lunch & learn)
New hire onboarding
Work closely with TA specialist on the onboarding process for new hires
Mobility & immigration support
Collaborate with OW Global mobility team on immigration needs (job postings, obtaining approvals, etc.)
Performance management process
Create PowerPoints for review meetings (including pulling data from Halogen to populate slides)
Enter project review and upward feedback providers into Halogen
Create upward feedback spreadsheets
Track timesheet compliance as well as any related timesheet compliance items (data gathering, running reports, etc.)
Pull summary reports from Halogen (project reviews, upward feedback)
Help with logistics for career review meetings (send out calendar invites, reserve conference rooms, order catering)
Update employee records as needed; add new titles for promotes, update manager and advisors as needed
Add new hires to system
Additional tasks as needed
Experience Required:
Bachelor’s degree or equivalent experience
Entry level role with prior Human Capital (HC) experience or working in an administrative HC position for 3-5 years.
Knowledge of local labor law regulations a plus
English fluency required, both written and spoken
Proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
