ROLE OVERVIEW
Human Capital Management (HCM) is seeking a highly motivated office administrator. This role involves supporting the Frankfurt Human Capital Management team and managing the schedule of the co-heads of HCM for Continental Europe (one is in Frankfurt and one is in Warsaw). The role requires exceptional prioritization, organization and communication skills. Previous experience in supporting senior executives and the ability to work in a dynamic, fast-paced environment is preferred.
RESPONSIBILITIES
Provide day-to-day administrative support in a team environment for HCM processes managed by Frankfurt HCM, including paperwork associated with onboarding new joiners and processing resignations. Provide day-to-day administrative support in a team environment for HCM processes managed by Frankfurt HCM, including paperwork associated with onboarding new joiners and processing resignationsSupport the Frankfurt HCM team: Print/scan/file documents and collect signatures from HCM team members and stakeholdersHelp coordinate ad-hoc events across the HCM spectrum in the Frankfurt and Munich officesCollect and process employee documents for monthly payroll process Source data from employee files for ad hoc audit requests Process sick notes and issue documents to the authorities to notify of an employee’s pregnancyManage local employee files Order supplies and keep inventory well-stocked and organizedProcess HCM invoices Manage mail; process and file incoming mail and prepare outgoing lettersSupport heads of HCM in Warsaw and Frankfurt to arrange leadership meetings with stakeholders across businesses Act as an integral member of the team; maintaining a high level of awareness of current priorities and support required

SKILLS & EXPERIENCE REQUIRED
3+ years of experience, preferably in a financial services or corporate environmentExcellent interpersonal skills with an ability to communicate in a clear, professional mannerStrong organizational skillsProfound attention to detailAbility to maintain high standards and quality work despite tight deadlinesAbility to solve problems quickly and efficiently Ability to handle highly sensitive, confidential and new information Self-starter with excellent anticipation skills; problem solving; proactive follow-upDemonstrates dependability and sense of urgency regarding achieving resultsMust be able to prioritize a variety of time-sensitive tasksMust have excellent judgment, be an independent thinker and resourcefulTeam player with a positive attitudeComfortable working with people at all organizational levelsHighest degree of integrity, professionalism, diplomacy and discretion requiredStrong proficiency in MS Word and OutlookProficiency in Excel, PowerPoint, Concur and ZoomFluency in German and English required
