Our client, a not-for-profit regulatory organization, is currently searching for a dynamic and skilled HR Assistant to join their team for a full-time 2-month contract. This individual will provide temporary support for the organization's HR department, assisting with maintaining their job description library, coordinating meetings, planning events, tracking new employee onboarding, and assisting with the administration of various HR programs.

A hybrid work environment; the successful candidate will work in-office on Mondays and Thursdays, and work remotely for the rest of the week (laptop, keyboard, and other necessary equipment provided)

KEY RESPONSIBILITIES:

Creating, maintaining, and updating the organization’s job description library and ensuring it matches with internal resources such as the organizational chart.

Coordinating monthly HR & Facilities department meetings and other departmental events/activities such as a team-building initiative.

Assisting with the planning and execution of employee events such as the Staff Appreciation Day. This includes collecting and tracking staff dietary restrictions, assisting with day-of logistics, ordering/distributing branded merchandise for employees, and sending out post-event surveys.

Assisting with the planning of the organization’s annual Halloween festivities.

Tracking new employee onboarding activity such as interim performance reviews, HR check-ins, and policy acknowledgement.

Assisting with the administration of the performance review program, including prepping performance review forms.

Assisting with the volunteer program, including organizing and ordering volunteer recognition gifts.

Researching, organizing, and planning various food-related activities for the organization including food trucks, ice cream trucks, secret snacks, and more. Assisting with building a catalogue of food vendors for the organization.

Other general administrative support and special projects as assigned by management.

QUALIFICATIONS, EXPERIENCE, AND COMPETENCIES:

2+ years of previous experience providing administrative support
Previous work experience in the HR field and with HR program administration is an asset

Ability to work both independently and collaboratively

Problem-solving and organizational skills

Strong knowledge of Microsoft Office Programs

Exceptional relationship-building skills

Ability to maintain confidentiality and handle sensitive issues with discretion

Diploma or degree is preferred but not required
