Human Resource Generalist I
Job Description:The Human Resource Generalist I will perform administrative task and services to support effective and efficient operations of the Department of Psychiatry. The incumbent is responsible for all personnel and payroll transactions for OPS, Housestaff employees, Fellows, and clinical post-doctorate associates.
Duties to include:
HOUSESTAFF DUTIES: Prepares the personnel/payroll packet for each new resident and clinical candidate. Drafts letter of offer, completes required appointment forms, requests all backup information, and submits to the Dean’s office. Prepares and processes termination packet as each person completes the training program. Works with the Department Residency Training office to monitor postgraduate year (PGY) students level increases and submits appropriate forms to the Dean’s office. Inputs housestaff budget into the College of Medicine database. Verifies extra duty moonlighting payment requests for accuracy and inputs data into the College of Medicine extracurricular activities computer system to pay residents correctly. Monitors training licenses throughout the program to ensure timely renewal.
OTHER PERSONNEL DUTIES: Collaborate with departments on creating posting and vetting of Other Personnel Services (OPS) positions. Processes personnel appointments for OPS employees and student assistants. Ensures completion of required on-boarding paperwork and inputs into PeopleSoft system. Provides guidance and assistance to University personnel regarding human resource policies and procedures. Process, approve, and input transactions, and relevant information into PeopleSoft. Prepares all paperwork for OPS FTE changes, raises, and terminations Assists Administrative Specialist II with research post-doctoral associates. Processes volunteer appointment paperwork for multiple divisions- this includes collecting all required documentation for appointment approval, ensuring all required training is completed as required for the appointment, distinguish is health assessment is required and which assessment should be completed, work with Dean’s office for final approval of appointment.. Prepares volunteer foreign national paperwork with Immigration Office.
PAYROLL: Monitors payroll for Other Personnel Services (OPS), housestaff, clinical post-doctoral associates, research post-doctoral associates, and graduate students, ensuring these groups of employees are paid in a timely manner. Review time sheets, and other information to detect and reconcile payroll discrepancies. Follow up with employees as required to meet payroll processing timeline. Verifies and process faculty leaves and submit in PeopleSoft. Run payroll, leave, new and term reports. Verifies housestaff extra duty payments. Requests off-cycle checks and cash refund requests (when needed).
GRADUATE STUDENTS: Responsible for tracking and reporting semesterly updates of department graduate student spreadsheet that reflects all graduate student activities including appointments, tuition waivers, transfers, and terminations. Enters graduate letters of appointments into PeopleSoft. Enters graduate matriculation and fee waivers into PeopleSoft. Responsible for ensuring that all graduate student letter and evaluation documents are completed in a timely manner for input into PeopleSoft.
ADDITIONAL DUTIES: Assists with impaired physicians training, and administering blood borne pathogen/biomedical waste training. Tracks and monitors annual compliance and Health Insurance Portability and Accountability Act (HIPAA) training. Maintain and update department’s databases with accurate employee information. Coordinate and support department charitable initiatives by arranging division participation, distributing materials, and collecting department contributions. Performs other duties not specifically assigned.
Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.
Preferred Qualifications:EXPERIENCE: Four years of appropriate experience if not holding a bachelor’s degree
