Job Description:

Graduate and Undergraduate Student Support

Manage letters of appointment and renewal for Graduate Assistants, ensuring accurate submission in PeopleSoft. Reconcile graduate assistant tuition waivers for accuracy and process student scholarship payments. Facilitate student appointments for OPS/STAS/FWS positions. Coordinate volunteer and observer opportunities with sponsoring faculty to enhance the academic and professional development of students.

Recruitment and Onboarding

Serve as the liaison between hiring supervisors, applicants, and UF offices to ensure seamless hiring processes. Meet with prospective hires to collect and review hiring paperwork, verify I9 documents, and guide onboarding steps. Support international hires by facilitating visa processes and ensuring compliance with university, state, and federal regulations. Assist with job requisitions, job postings, interview coordination, and hiring processes for all staff and faculty positions. Develop position descriptions, organize search committee documentation, and create recruitment guides to streamline onboarding and hiring.

HR Operations and Compliance

Provide administrative support for Tenure and Promotion (T&P) and Post-Tenure Review (PTR) processes. Develop guides, track deadlines, coordinate external review letters, and ensure compliance with university policies. Serve as the department’s ePAF originator, initiating and managing job actions such as hires, terminations, pay changes, and leaves of absence.

Time and Labor/Payroll

Supervise biweekly payroll processes, ensure accurate time reporting, and resolve discrepancies. Create approval groups for supervisors and conduct final paylist reviews.

Employee Records and Management

Maintain accurate and confidential HR records, create UFIDs, and manage departmental affiliations. Ensure adherence to the university’s records retention schedule. Provide administrative support for Tenure and Promotion (T&P) and Post-Tenure Review (PTR) processes. Develop guides, track deadlines, coordinate external review letters, and ensure compliance with university policies. Serve as the department’s ePAF originator, initiating and managing job actions such as hires, terminations, pay changes, and leaves of absence. Expected Salary:

$53,000 - $59,000

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

Knowledge of UF HR systems (i.e., ePAF system, Equifax, HireRight, Peoplesoft, PageUp).
Experience managing Graduate Student Appointments, Tuition Waivers, and Scholarships is strongly preferred.
State of Florida Notary Public.
