Operational Oversight: Manage day-to-day operations of the HR Leaves Administration Operations department; delegate tasks as appropriate.
Team Guidance: Provide technical and jurisdictional direction to HR ESD Analysts on leaves of absence, workplace accommodations, and Workers' Compensation. Ensure balanced caseloads and adherence to standards.
Performance Monitoring: Compile, review, and act on operational and management reports to ensure service excellence and compliance.
Communication: Serve as the primary contact for escalations involving HR, site management, employees, vendors, and regulatory agencies. Ensure timely resolution and customer satisfaction.
Case Management: Ensure accurate case coding, timely administration actions, and comprehensive documentation. Perform quality reviews in line with established processes and standards.
Quality Assurance: Oversee and participate in QA Manager audits to ensure compliance with quality standards and process effectiveness.
Leadership: Foster a high-performance culture through effective leadership, regular communication, and staff development. Conduct one-on-ones and team meetings.
Training and Development: Identify training needs, conduct training, and maintain training materials. Support staff professional growth.
Strategic Planning: Identify improvement areas, contribute to department goals, and participate in strategic planning for the L&A team.
Administrative Functions: Handle administrative tasks such as employee time and attendance, performance appraisals, and benefits administration.
Regulatory Compliance: Maintain up-to-date knowledge of relevant US and Canadian leave and accommodation laws and ensure ongoing compliance.
Responsible for understanding and complying with all policies, procedures, and regulations relating to job duties.
Promotes effective workplace practices, works as a team member, and shows respect for co-workers, employees, and internal/external business partners.
Leads, contributes to, and/or participates L&A team project initiatives as needed.
Performs other duties as assigned by management.
Five (5) or more years of work experience in managing end-to-end case management processes in leave and workplace accommodation administration for US and Canada based employees.
At least two (2) years of work experience leading and/or managing projects, processes and/or people in a data-driven environment and supervising employees in a team environment required.
Advanced knowledge and understanding of US and Canadian leave laws including ADA, EEOC, FMLA, HIPAA, and other applicable legislation required.
Five (5) or more years of work experience in managing end-to-end case management processes in leave and workplace accommodation administration for US and Canada based employees.
Five (5) or more years of work experience leading and/or managing projects, processes, and/or people in a data- driven environment and supervising employees in a team environment preferred.
FMLA and/or ADA Certification (CLMS, CPDM, etc.) strongly preferred.
Advanced understanding of US and Canadian leave laws (ADA, EEOC, FMLA, HIPAA).
Expertise in leave administration, Workers' Compensation, and workplace safety protocols. Proficiency in medical terminology and case management systems.
Strong leadership, communication, and interpersonal skills.
Ability to provide excellent customer service, resolve conflicts, and handle sensitive issues with discretion.
Skilled in analytical thinking, problem-solving, and process improvement.
Excellent organizational, time management, and multitasking abilities.
