This
position will be based in Kyiv, with occasional travel to
other locations in Ukraine as permitted and other locations. As this is a fluid
and rapidly changing context, the location of this position and length of
assignment may change based on the needs of the program.
Job
Responsibilities:
- Provide HR support to Kyiv office and act as a trusted HR advisor for Kyiv team
- Perform HR administration duties according to Ukrainian labor legislation: process document workflow for various processes including hiring, leaves of absences, staff transfers, personnel files, resignations etc.
- Regularly update HR trackers (general staff information tracker, leave balance tracker, etc.) for both national and international staff
- Collect and archive timesheets on a monthly basis
- Provide support to HR Manager (P&D) with International staff HR requests daily
- In close collaboration with the Global HR Operations team process the requests and manage employee information in the Workday system
- Follow up on staff trainings – collecting certificates of completion, sending reminders to staff, collecting policies acknowledgement forms
- Support HR Manager (P&D) with maintaining HR documents archive for Ukraine Country Program.
- Participate in Donor audits of HR documents
- Ensure IRC Connect procedures are followed for all staff paying particular attention to PME process
- Ensure implementation and coordination of performance management process and activities for staff: onboarding, goal setting, mid-year review, annual review, salary review
- Manage workforce planning, turnover and exit processes
- Manage staff relations and conflict resolution matters, be involved in disciplinary panels, ethics investigations procedures
- Coach staff and support people managers in staff development through training and capacity building plans
- Prepare and provide HR monthly reports
- Cover HR officers in other field offices during vacations and other absences
- Drive duty of care plan and team building activities for the Kyiv office
- Perform other tasks and requests that may come from the field management or HR Coordinator
- To be involved in the strategic projects of the IRC HR team and volunteer to lead on any of the priorities that arise
Requirements:
- University degree in a
related field with minimum of two years experience with HR administration.
- Ability to work independently
and part of a team.
- Strong organizational and
computer skills, practically with Word and Excel.

- Languages
