Job Title: --HVAC Service Estimating Coordinator – Quoted Work
Job Summary: --
This position will provide estimating and coordination support to the service operations team throughout the service delivery process in estimating, quoting, delivering customer follow up and coordination of service quotes driven from service technician recommendations to the clients for additional work outside of the agreement and or required repairs whereas the clients require a firm quote on Fluidics letterhead. The process includes scope review /development, proposal writing, budgeting, estimating and project schedule with area service managers and dispatchers.
Essential Duties and Responsibilities: --
Generate estimate spreadsheets that are complete and accurate for the proposed service quote. Assist with pricing change orders if additional work is required outside of the written scope of work. Read and decipher technician hours and material to produce accurate quotes. Example: Adjusting time and materials provided by technician (either up or down). Source correct parts and materials form favorable vendors Ensure quality while submitting more comprehensive alternative solutions for clients. Example: Rebuilt compressor vs OEM Obtain scopes of work and pricing from subcontractors and suppliers. Review vendor equipment / parts submittals for accuracy, quality and price of products. Ability to prepare a procurement plan for buying out the suppliers, subs, terms and conditions. Example: Compressor core returns against job Half day crane vs full day crane Establish and maintain good client relationships at all times. Follow up with clients making sure work was completed successfully in their eyes. Evaluate project at completion to understand where overall project efficiencies were or could have been achieved. Source parts pricing for all quotes and organized in folders for accurate estimates. Coordinate ordering and delivery of parts for the technicians to complete the approved quotes Follow up with clients to close the quotes. Book the quotes in the accounting system for accurate tracking of the work. Ensure profitability of Quoted work. Support all Area Service Managers with quoted service estimates and proposals. Ability to prepare a procurement plan for buying out the suppliers, subs, terms and conditions. Price and coordinate additional work that may be required and that was out of scope of original proposal. Maintain open dialog with technicians, Dispatches and ASM’s for work completion.
Qualifications: --
Must have competent technical knowledge of HVAC systems and repair task / items for commercial systems. Understanding of submitting written proposals, scopes of work, estimating including conceptual estimates, project delivery methods, and operational leadership with a focus on synergistic harmony between departments and processes. Knowledge of the practical application of mechanical systems repairs. Basic knowledge of the mechanical system in commercial buildings, hospitals, data centers, and universities. Knowledge of materials, methods, and the tools involved in the mechanical repair of commercial building HVAC system. Ability to work in a fast-paced environment, able to coordinate / execute multiple tasks and request for quotes and parts sourcing. Strong attention to detail and ability to multitask in a fast-paced environment. Ability to work with the customer to find mutually satisfactory solutions to difficult issues. Ability to work with management and a variety of skilled & unskilled salespeople, professional, administrative, and industry personnel. Excellent communication skills – verbal and written. 3 to 5+ years of related employment experience required. Proficient level computer skills, including proficiency with Microsoft Office (Excel and word in particular). Capacity to leverage communication/interpersonal skills to develop and enhance business relationships. Must have a valid driver's license.
Work Schedule: Monday through Friday, on-site.
