Job Title: Transportation Coordinator - Hybrid Schedule

Job Description

We are seeking a Transportation Coordinator to join our corporate headquarters in Westchester, IL. The Transportation Coordinator will manage outbound and inbound calls for recruitment, rate negotiation, and receiving qualifying documents. This role is vital in maintaining the required number of Tow vendors at each branch and in internal reporting. Working under the supervision of the Transportation Manager, you will play a key role in ensuring smooth transportation operations.

ResponsibilitiesManage outbound and inbound calls from Tow vendors.Verify qualification documents and equipment details.Negotiate rates and update information in the transportation management system.Handle case management and lead follow-ups.Initiate and complete branch requests.Coordinate tower on-site interviews and create meeting itineraries.Complete tower profiles and schedule performance meetings between towers and the field team.Develop and maintain professional relationships with Towers.Send deployment, release, and declination emails to Towers.Perform special projects as requested.Manage Tow Zone Rate Requests (TZRRS) and save Tow Rate History.Review all qualifying documents and submit them to management for approval.Verify proper implementation of rates in MTC.Draft Liability Waivers.Confirm Penny Test Confirmations via call/email.Review COI to confirm it conforms to standards.Essential SkillsExcellent phone and written communication skills with internal and external customers.Basic Microsoft Office familiarity, especially Outlook, Teams, and Excel.Time management skills.Ability to function well as part of a team and independently.Professional and clean appearance.Additional Skills & QualificationsHigh School Diploma or GED (associate or bachelor’s degrees preferred) or equivalent of 3-5 years’ work experience.Previous experience with customers.Bilingual communication skills.Experience in admin, data entry, outbound calls, Salesforce, order entry, administrative support, and transportation.Work Environment

Our office occupies 3 floors in Tower 2. You will have your own cubicle area. The work hours are Monday through Friday, 8am to 5pm, with occasional extensions to 6pm based on business needs. After completing one month of training, a hybrid schedule will be allowed: in-office on Monday and Wednesday, and remote work on Tuesday, Thursday, and Friday. The building is very nice with a Starbucks on the first floor. There is room for advancement, as managers will refer top performers to other departments for permanent opportunities. The pay range for this position is $18.00 - $18.00
