INFORMATION ABOUT THE BUSINESS Aon Health and Benefits takes a long-term view of benefits management that aims to help companies achieve a balance between using benefits as a retention tool and managing escalating costs. These offerings include end-to-end solutions to benefits management, alignment of your benefit plans with corporate strategy and policies, considerable purchasing leverage, systematic and structured approach. GENERAL DESCRIPTION OF ROLE: The PM II will be accountable for end to end Project delivery, ensuring that the project stakeholders are comfortable that the solutions are likely to produce the required business benefit, delivered on time, to budget, and within the agreed quality standards. This is a specialist role that is likely to, but not always, require people management of PMI and PCI & PCII roles. This role reports to the Business Unit PMO lead. The PM II will typically manage change of up to $USD500,000 (or local market equivalent) in fees. As a PMII colleagues are required to Manage multiple clients and multiple projects in multiple countries (not including their home location). JOB RESPONSIBILITIES : Team Management Direct and motivate project teams of up to 15 associates utilising a matrix management approach Line management of PMO teams up to 5 Input to associate’s performance management process Management of regional, globally sourced and contracted third party resources Management of multiple interdependent technology projects Budget Accountable for managing delivery against the project budget Accountable for the successful realization of planned revenues for projects under their management Estimation of project budget and re-evaluation throughout the project lifecycle. Management of change impact against the project budget Ensure that any deviance to the project budget outside agreed tolerance is reported to the project board. Management of budgets up to £500k Client Ensure effective communication between different departments within the business and with the client Report to the project board and client at an agreed frequency and at the end of each project stage – extra reporting may be required in exceptional circumstances Accountable for ensuring Aon United across all areas of delivery into projects under their management. Specifically leading Aon stakeholders to deliver to client requirements including but limited to H&B Consultants, Brokers, Communications, Configuration/system Delivery resources, Operations, ECC and client management. Project Quality Manage the production of the required project deliverables Plan and monitor the project Estimate project delivery in terms of resource requirements and total cost throughout the project lifecycle Agree and manage to quality standards Produce and agree approval to the project initiation document Prepare project, stage and exception plans. Obtaining approval from the project boards Manage project and business risk, including any contingency plans needed Liaise with the business Service Delivery Managers to ensure a full understanding of the project obligations Ensure that dependencies within the project and between other projects are identified. Liaise with the Service Delivery Manager to ensure that changes in the project or associated projects do not produce an unacceptable conflict Take responsibility for overall progress and appropriate use of resource, taking corrective actions where appropriate. If corrective action cannot keep the project within the agreed tolerances, report this to the project board Determine and agree the overall approach, direction and integrity of the project Throughout the project review lessons learned and implement mitigating actions where appropriate Ensure the project is closed in a controlled manner Project Management & Change Management Manages significant implementations (Up to $500k or equivalent in revenue) or high value change orders of similar magnitude. Although will have experience delivering all types of project within the Business units portfolio of work. Owns the wholistic delivery to customers across key project phases from Initiation, Requirement, Build, Test Deployment and closure Detailed understanding of the full project lifecycle from pre-project through, initiation, requirements, build, testing (Unit, IAT & UAT), go live readiness, hypercare and project closure. Detailed understanding of all Online benefits functional areas to be able to articulate Aon’s service delivery model and help clients understand the consequences of change impacts they may request. Maintain and update risk/issue/action documents relating to any project they are working on; Consider and manage the broader impact of change at both a project and potentially at a portfolio/programme level. Actively seeks innovative solutions when a change is requested and presents to the client for consideration. Works with the Test Co-ordinator who will manage the execution of internal acceptance testing for changes to systems/functions/processes including sign off to proceed to UAT Works with the Test Co-ordinator who will manage execution of user acceptance testing by the client, including planning, defect management and sign off to proceed to production; Lead and contribute to requirement walkthrough meetings; Acting as key point of leadership in project planning, prepare testing implementation and closure for projects. Ensuring that the project delivers its objectives in line with its scope; Client Management Acting as primary point of contact for new Clients during the Implementation of large projects, develop the relationship to build trust with senior members within the Client organisation at project/programme board level) For existing clients work with the established account team to provide stakeholder level communications relating to Projects under your management Ensure the provision of regular project reports to clients Lead client meetings to report on project performance Act as an expert on Aon Project methodology to Aon and our clients Act as an advocate (working alongside other functional experts) to promote Aon’s Online Benefit delivery, and products providing support and expertise to clients. Review the financial performance of your client(s) projects - taking action to reduce cost and increase revenue where relevant. Pre Project – SOW Contract Creation As and when required to do so the PM II is responsible for ensuring the delivery of Statement of Work (or equivalent contractual documents) to ensure project initiation can commence in line with agreed client project plans. Risk Management Ensure compliance with Code of Conduct and other relevant legislation Identify Project risks for each client project or portfolio under your management, ensuring mitigating actions are implemented and tracked as appropriate Input into business risk log for area of ownership Financial Management Accountable in partnership with the relevant consult/Service Delivery Manager for on time billing of Project/Implementation/change order frees under your management Accountable for managing the on-time delivery of the project Escalate misses in fixed fee revenue Accountable for ensuring scope creep on projects is managed in line with the established Change Control process. Escalate Lack of engagement or support from stakeholders Missed project milestones SKILLS/COMPETENCIES REQUIRED: Domain Knowledge In depth knowledge of project management methodologies with advanced accreditation in at least one (preferably two) recognized project management standard, Prince II, PMP, Agile etc. In-depth knowledge or willingness to learn online benefits In-depth knowledge of pension processes across online benefits Some regulatory and legislative knowledge relating to Online benefits Schemes. Technical Skills Advanced Microsoft Office skills Expert facilitating online meetings via WebEx or other platforms Intermediate/Advance Microsoft Project skills. Knowledge of the Easy Projects online PMO software is an advantage but not essential Working knowledge of Microsoft Power BI knowledge Understanding of PNM Soft Sequence BPM tool and associated process within Aon Configuration Excellent knowledge of Aon Online Benefits products and tools. Experience user of Cisco Webex and WebEx teams. Analytical Skills Ability to analyze processes and identify improvements Ability to identify and respond to risks Ability to focus on details. Ability to analyze PMO data and provide executive summaries for senior leadership Communication Skills Ability to communicate and technical ideas Ability to lead meetings and conference calls virtually or in-person Ability to negotiate without supervision direction. Project Management Ability to co-ordinate colleagues on assigned project work Ability to work effectively in a project team. Time Management Excellent time management & organizational skills Able to meet tight deadlines under time pressure Able to prioritize tasks according to volumes Able to deal with stress Able to coordinate other colleagues' responsibilities. WORK EXPERIENCE Essential At least Five years’ experience leading managing complex technical projects within a PMO, client service or consulting environment A proven track record of success Managing Projects on behalf of clients across multiple countries (at least 3 countries not including the UK, Poland, India, or USA). Remote Management of project utilizing globally sourced resources Proven experience working in a client facing consulting capacity across multiple Industry sectors (at least three) External client interaction and management of third-party vendors is seen as a critical skill set to have previously demonstrated Preferred Understanding of the development and support principles within a multi-tier application technology environment. Relevant experience of Online Benefits in any capacity would be an asset. Proven ability to independently run large projects on a regular basis without the need for regular supervision/management.
