Insomniac - Design Project Coordinator

The company was founded by Pasquale Rotella and has been based in Los Angeles since it was formed in 1993. THE ROLE Insomniac Events is looking for a Project Coordinator to join the Design team in Calabasas. This person will help organize all project activity in cooperation with & under the direction of the Project Management team. This position will assist in collaborating with cross-functional teams to keep all design projects on track and organized, as well as communicate any pertinent information for teams to effectively execute their projects. The Project Coordinator will also focus on managing and organizing resources within Asana, Dropbox, etc. and any other resources vital to the success of a project. This position reports to the Design Project Manager. This is not a remote position. RESPONSIBILITIES + Assist with maintaining day-to-day flow of design projects in production for all festivals, branded shows, concerts, and special projects. + Assist with the intake and delegation of design requests via the internal project management system (Asana). + Assist with Asana calendar management & daily ticket scrubbing + Evaluate project overview for each design request received + Define scope of work + Establish budget + Determine possible risks + Develop project timelines and set delivery expectations with Stakeholders + Manage approval processes with Stakeholders & Executive team + Coordinate meetings with necessary teams to account for accurate information and project clarity prior to asset production. + Monitor creative development, plan for & troubleshoot project roadblocks, create contingency plans, and revise schedules as necessary for all projects. + QC assets prior to routing to necessary team members for approval. + Interface cross-functionally with teams including but not limited to: Marketing, Media, Merchandise, PR, Production, & Talent. + Upon project completion, effectively organize and archive projects in Dropbox. + Ability to work effectively under pressure and demanding timelines. + Ability to work evening and weekend hours as needed to meet deadlines. + May be required to attend and work company events (domestic travel expected) once a full time employee. + Train and provide support in onboarding team members, clients, vendors and partners when needed + All other projects and initiatives as identified QUALIFICATIONS + 1+ years of experience working within an interactive agency, preferably within the Entertainment Industry + Working knowledge of design, print, web, and social media platforms Proficiency in project management tools (i.e., ASANA, Dropbox, G-Suite) + Ability to multitask and prioritize when handling multiple projects at a time + Able to work in a fast-paced environment + Excellent communication skills: both in person and digital/online platforms + Efficient time management skills + Proficiency in MAC/PC + Passion for Electronic Dance Music is a must! WORK ENVIRONMENT + Must be willing to travel to work during holidays, evening and weekend hours, as required, to meet deadlines + Must be able to tolerate loud noise levels and drastic temperature climates while working on site at various event locations + Must be able to work in open concept office space Applicants for employment in the U.S. must possess work authorization, which does not require sponsorship by Insomniac for a visa. Similar positions located outside of California will not necessarily receive the same compensation.
