Primary Function/General Purpose of Position
The institutional GME administrator (IA) reports and functions under the DIO/Chief Academic Officer for the SI and market. Under the DIO, the IA supports GME oversight and administrative functions of the Sponsoring Institution, GME programs, UGME experiences, library, and related items of the clinical learning and work environment.
Essential Job Functions
Oversee: Conduct/develop as lead agent, with advice/Counsel from DIO as needed/requested
Collaborate: Support/assist DIO as requested (often as lead agent in same) but approval/Final status is per DIO
General Principles:
Delegate what can be delegated. Be of help and guidance, but don’t to the work others can do Foster growth of direct reports. Allow Flexibility in staff work styles, while holding accountable for deliverables with early and frequent feedback (positive and constructive) Develop processes to minimize unnecessary decision making. Automate what can be automated.
Accreditation of Residency and Fellowship Programs:
Set proper deadline and initial review of Webads Annual update. Have updates available for DIO review at least 7 business days before deadline Compile and analyze data packet for AIR by 10/31 of each year Update GME dashboard annually after annual accreditation decisions in Spring of each year for DIO approval by May 1 of each year Orientation: Oversee and lead orientation process for incoming residents annually Oversee, in collaboration with DIO and finance, annual residency program budget development Approve GMEC packet at least 7 days before upcoming meeting. Packet will be then approved by DIO. Support program accreditation visit documentation Collaborate with DIO on any ACGME communications such as complaint responses.
Administration/HR:
Oversee payroll and benefit process for coordinators Oversee payroll and benefit process for residents Develop and oversee bi-monthly professional development sessions for coordinators and specialists Oversee GME administrators and delegate appropriate duties to same
Simulation Center:
Provide/oversee Administrative/HR and budgetary support for the Simulation Director for the Mercy Simulation Center. The Simulation Director will report to the DIO
Regional Library:
Provide administrative/HR support to the library manager In collaboration with library manager, oversee development of annual budget, needs assessment and responsive strategy to same annual for upcoming annual academic year
UGME:
Provide administrative/HR support to UGME administrator Ensure UGME administrator provides IA and DIO annual student feedback for all rotations
Regional Academic Affairs:
Oversee budget development with collaboration/approval of DIO annually Oversee/provide administrative support for regional staff Attend monthly SI Leadership Forum Attend monthly chief resident council. Either directly or indirectly with GME administrator, Collaborate with DIO on GME goals and objectives for upcoming academic year
Education
Work requires a Bachelor’s Degree with at least 3 years of GME experience similar to that of Institutional Administrator or-Associate Degree and 5 years GME experience with 3 years similar experience to that of Institutional Administrator role. TAGME certification is a plus Must possess strong leadership and administrative skills Must have excellent oral and written communication skills
Training
Competent in Microsoft Office
Experience with MyEvaluations/New Innovations/WebADs preferred
