Job Summary:
Supports a Platform office as first point of contact for inbound telephone inquiries and office visitors/guests. Receives and relays messages/telephone calls from internal and external sources. Greets guests/visitors, documents information, issues appropriate security passes. Reports security issues. Responds to routine inquiries on office location, hours of operation, telephone numbers, e-mail/website addresses. Broad knowledge of operational procedures and tools obtained through extensive work experience.
Responsibilities:
Answer incoming calls, forward to proper team member
Distribute faxes and emails to the appropriate Client Advisor or Account Manager
Open the mail and scan to the proper Client Advisor or Account Manager
Maintain the Pitney Bowes Postage Machine and process outgoing mail
Order general office supplies
Put Heritage, Hagerty and American Traditions renewals in EPIC for the Personal Lines Department
Upon insureds requests, confirm payment status, and make payments
Requirements:
Previous experience as a receptionist, administrative assistant, or other clerical position in a corporate environment required
Exceptional verbal and written communication skills to handle client interactions and professional correspondence
Proficiency in using office software, including Microsoft Office Suite, and the ability to learn additional software applications
Strong organizational skills with attention to detail for managing appointments and office tasks
Strong problem-solving skills and the ability to manage last-minute changes efficiently
Prior experience using Epic is preferred
