The Program Operations Manager will assist in a support role with a wide variety of client service processes, report generation, data analytics, timecard audit and prep, software management, and gap analysis.

Job Description:

Assist team(s) and oversee day-to-day operations including, but not limited to, client initiatives, employee timecards, activity and insights reporting, and client issue resolutionProvide insight and analysis regarding program performance and identify opportunities for continued improvement of internal and external client organizations in a retail environmentReconcile, audit, and create reports for expenses, financial records, hours, etc. against set budgetsDevelop functional specifications and system design specifications to drive development and testingSystem set up for new employees and projectsDeliver reports to department heads, management teams, and directors to provide insight into the overall efficiency of the organizationWork collaboratively with the Program Director and client account team to develop account plans and strategiesResponsible for assisting with client service issues and timely resolutionWork with managers to assist in the development and maintenance of infrastructure for new and existing projectsConsult with Program Leadership regarding issues with the field team such as performance, policy adherence, etc., and address them accordinglyBecome a liaison between the client management team and the ops team assisting in problem resolution, analysis, team building, etc.Ensure accurate updates of information as requested by field teams in applicable reporting systemsCourteously provide problem resolution to employees and field team calls for escalated matters; submit for research when necessaryAdvise stakeholders and management of progress, risk indicators, and mitigation effortsProvide excellent customer service by facilitating and/or providing informal and formal training and feedback to employees and external clientsCompose verbal and/or written correspondence to employees and external clientsPerform all other duties as assigned

Performance Measurements:

Ensure reporting compliance, timeliness and accuracyEnsure execution of all client-specific initiatives meet requirements and deadlinesAccurately update field personnel information in a timely mannerEnsure all reports generated/distributed are accurateOverall employee and program efficiency

Qualifications:

Bachelor's Degree in Business5 years of relevant experience in 3PL, Billing Controls, or Retail OperationsStrong operations, project management, Financial AcumenAny similar combination of education and experienceOutstanding organizational skills, attention to detail, project management experience, and prioritization of tasksSuperior interpersonal skills to work closely with other team members and the clientStrong verbal communication and presentation skillsExcellent judgment and issue resolution skills, and the ability to balance multiple demands and changing prioritiesAdvanced/expert working knowledge of Microsoft Office products (Word, Excel, PowerPoint Power BI and Outlook)
