Responsibilities NONAPPROPRIATED FUND POSITION DESCRIPTION JOB TITLE: Administrative Assistant/Management Assistant BUSINESS TITLE: Internal Control Examiner JOB SERIES: 0303/0344 PAY LEVEL: NF-02/03 This position's pay level is NF-02/03. At the entry level, the incumbent serves in the developmental capacity performing duties under closer than normal supervision. The incumbent is required to successfully complete all training requirements, obtain specialized experience, certification and licenses, and be recommended by the supervisor prior to advancement to the target grade level. DUTIES AND RESPONSIBILITIES: Serves as a Program Assistant in the Internal Control Branch (ICB) and is responsible for providing a variety of technical and administrative support services. Provides assistance such as researching and gathering factual information related to a specific audit of review. Analyzes data for specific patterns, trends or abnormalities. Performs database searches to identify appropriate data areas in addition to those identified by management. Assists in maintaining files that document the progress of an audit or review. Prepares routine correspondence and transmits information to other offices or agencies. Prepares status reports based on input from staff. Prepares and types a wide variety of materials from rough to final draft. Assists in the planning and execution of inquiries covering alleged improper business practices, mismanagement, property discrepancies, cash variances, suspected minor criminal activity, and sometimes controversial subjects that may result in administrative judgments, sanctions, or penalties. May conduct interviews as assigned by the Director of Internal Control. Provides additional support to the Director of Internal Control. Employee integrity should be of the highest level due to the sensitivity of information used on a daily basis. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Uses required safety equipment, and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications BASIC REQUIREMENTS: Must be at least 18 years old AND have graduated from high school or been awarded a certificate equivalent to graduating from high school; OR Have completed a formal vocational training program. A minimum one year of progressively more responsible administrative work which demonstrates analytical ability, mature judgment, discretion, and knowledge of a substantial body of administrative principles, concepts, policies, and objectives. A valid Government Owned Vehicle (GOV) operator¿s permit is required for the performance of duties for this position. Inability to obtain or maintain appropriate GOV licensing will result in termination for lack of qualifications. The incumbent is required to obtain required GOV licenses within 30 days of hire. Must be able to work irregular hours on reviews and observations. QUALIFICATION REQUIREMENTS: Knowledge of basic administrative policies, procedures, and regulations and demonstrated ability to apply such knowledge in performing work. Knowledge in such as MCCS Directives, Policies, SOP's, and LOI's are preferable. Ability to gather, assemble, correlate, and analyze facts and data, and create various reports. Evaluate business operations to identify risk areas for fraud. Analyze financial data to detect irregularities in areas such as billing trends, financial relationships, and regulatory compliance procedures. Interview witnesses or employees and take statements. Knowledge and ability in operating Microsoft Programs such as, Word, Excel, PowerPoint, and database management to produce various documents. Ability to communicate effectively both orally using tact and courtesy, and in writing including the knowledge of proper English grammar, punctuation, spelling, and usage. Knowledge of Naval Correspondence Manual's rules and regulations is preferable. This activity is a Drug-free workplace.
