Main Duties and Responsibilities
A. Program Development and Management
● Assists in the design, development, implementation, and evaluation of international
mobility programs for employees, ensuring that it aligns with the University's
internationalization strategy.
o Conceptualizes and conducts pre-departure orientations, briefing sessions,
workshops, and information sessions to prepare employees for their international
experiences, which includes orienting them on cultural nuances and protocols.
o Conceptualizes and conducts post-arrival integration sessions, debriefing sessions,
workshops, and other such activities to deepen the learnings and formative value
of international experiences of the employees.
o Assists in planning and facilitating the exit interview sessions of international
visitors and outbound employees, and analyzes the themes of the feedback, and
recommends improvements.
● Explores and pursues opportunities for employee international mobility, ensuring that
such opportunities are distributed as equitably as possible in the Higher Education
cluster and the wider university.
o Coordinates and communicates with relevant units within the University to identify
all the various international mobility requirements of employees.
o In collaboration with the other sections of the OAVP-UPI, benchmarks with
international partner institutions and organizations to find innovative opportunities
for international collaboration for employees, in pursuit of the mandates of the
University and of its various offices.
o Coordinates efforts to mobilize resources in support of capacity-building
opportunities for university employees, including but not limited to writing and
developing concept notes, formal proposals, expressions of interest, and the like.
B. Coordination and Support:
● Collaborates with units in the Higher Education cluster and wider university to align
outbound training outcomes for employees with UPI mandates.
● Assists in communicating the programs of the Section and of the Office to unit heads
and employees.
● Manages the administrative tasks related to international mobility programs, including
documentation, visas, travel arrangements, and budget oversight.
● Monitors outbound employees during their time abroad, addressing any challenges or
emergencies that may arise, and facilitates access to support services as necessary.
C. Inbound International Visitors
● Facilitates the pre-arrival preparation for all inbound international visitors, including
coordinating the visiting employees’ visa applications.
● Coordinates with relevant units in the University and Higher Education Cluster to
ensure that visiting international employees are able to access necessary and relevant
employee services, and enjoy campus life.
D. Section Management Support
● Keeps abreast of internationalization trends and practices that might affect the
University, and provides feedback to the leadership team on how to anticipate and
manage its possible impact.
● Researches, analyzes, and presents data related to international mobility for employees.
o Prepares demand and supply reports, providing trends (e.g., weekly, monthly,
quarterly, annually) and analysis related to international mobility requirements,
turnaround rates, (un)successful profiles.
o Drafts regular and ad hoc reports, and ensures that these are submitted within the
service level agreement (SLA).
● Assists in the logistical and resource requirements of the Section and the Office projects and activities.
● Assists the Office during peak seasons, and the University for events and committee
works.
E. Performs other University-related duties as may be required by the AVP-UPI and/or authorized representatives.
