Job Description

In this role as Inventory and Operations Administrator will be responsible for overseeing inventory and handling all diamond goods within DBUK Maidenhead. This role ensures the accuracy of inventory records, adherence to security protocols, and compliance with industry standards.

This position involves collaborating with various departments, including purchasing, sales, finance, and logistics, to ensure seamless operations and maintain the integrity of our inventory. They will also support the Supply Chain Manager in managing and analysing inventory-related activities and help with procurement as needed. This role involves maintaining accurate records, assisting with inventory levels, providing support within stores and handling logistics operations to ensure efficient and timely delivery of goods.

The ideal candidate will be detail-oriented, analytical, and proficient in financial and inventory management software. They will also coordinate with external auditors during company audits to ensure compliance and transparency.

Key Responsibilities:

Diamond Control

Administer and maintain site diamond control and reporting framework.Maintain the diamond stock AX System, and periodic reporting.Knowledge of international diamond shipping regulations.Provide inbound and outbound shipping support for Diamond goods.Perform regular stock takes.Superuser of the AX System and support for users of the AX System.Updating and maintain training material and process manuals.

Supply Chain Support

Assist the Supply Chain Manager in coordinating with procurement, logistics, and warehouse teams to ensure efficient inventory management.Assist in maintaining inventory management systems and databases.Provide general administrative support to the supply chain team and needs of the business.

Stock Inventory Management

Responsible for the execution of inventory management, goods receiving, storage and issuing processes with emphasis on inventory levels, asset controls and administration.Issue stock items on an as-needed basis for project and manufacturing work.Pick and pack kitting lists generated to manufacturing requirements.Administer the receipt of stores deliveries, and perform necessary verification and sign off against orders.Ensure stock transactions are accurately recorded, ensuring physical stock match system data.

Logistics

Dispatch of all production equipment and service spares in a timely manner.Knowledge of international shipping regulations.Manage inward processing relief qualification - processing quarterly IPR returns.Controlling payments of import taxes, duties and such similar.Providing shipping support for production instruments as well as project items, ensuring pack lists. are complete and products are packaged in a standard and safe manner.Ensure shipment of products, spare components and other material are in line with the latest INCO terms.

Compliance

Ensure compliance with company policies and industry regulations related to inventory and operations management.

Team Collaboration

Work closely with cross-functional teams, including production, quality assurance, and logistics, to support overall business goals and objectives.

Health & Safety

Ensure own working environment and practices comply with all legal and De Beers UK policy guidelines in relation to Health, Safety and Environment.

QualificationsGeneral education with GCSEs or equivalent.1-2 years of experience in inventory management, logistics and/or supply chain support.Import/Export: Previous experience in the import/export of goods and services, with a solid understanding of international shipping regulations and documentation.Customer Management: Proven experience in managing expectations of multiple customers, ensuring high levels of satisfaction and timely delivery of goods.Experience but not essential in the handling of rough and polished diamonds, including security protocols and audit procedures, ensuring the highest standards of care and compliance.Proven experience in managing ERP systems, preferably within a manufacturing or distribution environment.Technical Support: Experience providing technical support and training to users of ERP systems.Experience in data management, validation, and security within ERP systems.Exceptional precision and accuracy in managing and recording diamond goods inventory, ensuring no discrepancies or errors.Strong ability to analyse and interpret data related to inventory management and shipping, identifying trends and potential issues.Excellent verbal and written communication skills to effectively coordinate with internal stakeholders, external auditors, and regulatory bodies.Proficiency in inventory management software, Microsoft Office Suite, and ERP systems, leveraging technology to enhance operational efficiency.High level of integrity and professionalism in handling valuable goods, maintaining ethical standards and trustworthiness.
