IT Admin Assistant II
The Georgia Department of Driver Services (DDS) is seeking a highly organized and motivated individual to join our Information Technology Division as an Administrative Assistant II. In this role, you will provide essential support to the Chief Information Officer and the IT team, ensuring smooth daily operations in a fast-paced environment. You will be responsible for a wide range of tasks, from managing IT purchasing and finances to coordinating meetings and providing technical support. Excellent communication, organizational, and technical skills are crucial for success in this position.
Duties and Responsibilities:
β’ Provides administrative and/or technical assistance, analyzes problems, questions, and issues, to develop recommendations for resolution.
β’ Serves as a technical resource for staff, troubleshooting issues with Windows computers, printers, and Microsoft O365 Suite.
β’ Conducts extensive research to compile information needed to generate and publish various reports, complete projects, and accurately respond to questions and concerns.
β’ Maintains detailed records & documents (e.g. logs, posts, records, etc.) data/information.
β’ Performs purchasing activities for the division to include but not limited to office supplies, IT equipment, software licensing etc.
β’ Conducts marketplace research, creates, and maintains financial and other records. Reviews and reconciles charges from multiple sources.
β’ Works closely with the vendors and Finance Division to ensure smooth transactions.
β’ Organize and coordinate daily IT office activities, including managing calendars, coordinating meetings and events (trainings, conferences, seminars), and making travel arrangements for the IT Director.
β’ Maintains conference room calendars. Assists with conference and training rooms equipment setup and troubleshooting.
β’ Performs job responsibilities with minimal supervision.
β’ Serves as a liaison and engages in a variety of contacts inside and outside of the organization to obtain or relay information, arrange meetings, and gather data.
β’ Provides a high level of customer service for internal and external customers.
β’ May supervise and plan work of assigned staff.
β’ Maintains the office areas, conference rooms and breakroom ensuring a neat, professional appearance. Coordinates with Facilities and cleaning crew as needed.
Competencies Needed:
β’ Ability to critically think, using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
β’ Ability to present ideas in business-friendly and user-friendly language
β’ Significant attention to detail
β’ Demonstrate leadership, management, and strategic planning skills.
β’ Excellent communication and interpersonal skills are essential. Must be a result and goal-oriented individual with the persistence and patience necessary to work effectively with a variety of internal and external constituencies.
β’ Must possess a high degree of personal integrity and ethics.
β’ Strong quantitative and analytical skills required.
β’ Ability to handle confidential information with exceptional judgment and discretion necessary.
Minimum Qualifications:
High school diploma/GED AND Three (3) years of job-related experience;
OR
One (1) year of experience required at the lower level Admin Assistant 1 (GST050) or position equivalent
Preferred Qualifications: Preference will be given to those applicants who, in addition to meeting the minimum qualifications also possess two or more of the following:
β’ One (1) year experience in Drivers Service Administration.
β’ One (1) year of knowledge of DDS systems and processes.
β’ One (1) year of knowledge of State of Georgia purchasing processes, guidelines, and policies.
β’ One (1) year working knowledge of computer hardware and mobile devices setup and support.
β’ One (1) year experience troubleshooting and resolving computer, printer, and audio-visual equipment issues.
β’ One (1) year experience troubleshooting and resolving Microsoft O365 Suite end user issues
