IT Asset Manager

 

The IT Asset Manager works in a global team to manage software and technology-related hardware within the organization. The function includes planning, monitoring, and recording software licenses and/or hardware assets to ensure compliance with vendor contracts.  

 

The individual will assist in forming procurement strategies to optimize technology spend across the organization. The IT Asset Manager participates to develop and implement procedures, and makes recommendations, for tracking company assets to oversee quality control throughout their lifecycles.  

 

As an interface between the regional business and IT, the IT Asset Manager will work closely with the regional Head of IT and the business to ensure software and hardware needs are understood and addressed from a technology and compliance perspective. 

 

Key duties and responsibilities include: 

 

The key elements to the role are Strategy and Planning, Acquisition and Deployment, and Operational Management: 

 

Strategy and Planning 

Establish, refresh or monitor policies and procedures for tracking the state of IT assets, such as software PCs, servers and other devices. 

Explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full efficiency and ROI from company resources. 

Develop strategies and external relationships to implement plans safe disposal IT assets. 

Participate in evaluation of the asset management process. 

Acquisition and Deployment 

Conduct and report software asset reconciliation and audit activities on a timely basis, including financial, licensing, warranty, and maintenance/support contract information. 

Compare warranties, maintenance agreements, and vendor contracts to assist with asset upkeep, upgrades, repair, and replacement. 

Assist IT Procurement in developing and managing sourcing strategies for the organization. 

Identify opportunities for volume purchasing to obtain price breaks. 

Investigate equipment or software under consideration to determine ROI and total cost of ownership throughout the product lifecycle. 

Define purchasing recommendations that support business goals, in collaboration with senior management and stakeholders.  

Negotiate pricing, terms and conditions of agreements, and warranties of goods and products with key suppliers and vendors. 

Monitor and analyze trends in company spending and inventory control in order to make recommendations for the future, and to identify areas for possible savings and/or asset optimization. 

 

Operational Management 

Contribute to formulation and implementation of processes and procedures for tracking and analyzing technical and financial data of company software, hardware, and equipment from requisition through retirement. 

Track and maintain copies of software licenses, warranties, maintenance agreements, and vendor contracts. 

Monitor the accuracy of software and hardware serial numbers or identification tags in the configuration management system (CMS) and ensure information is up-to-date, accurate, and auditable. 

Perform inventories and usage monitoring of all IT assets and record all findings, changes and physical location. 

Research industry best practices and recommend improvements to the organization’s practices in order to establish benchmarks for managing IT assets. 

Effectively communicate IT asset management policies, processes and work guidance to IT support teams, stakeholders and staff members in a timely and clear fashion. 

Actively track and provide reports to IT stakeholders information about assets necessary to standardize equipment, lower total costs and make budgetary decisions. 

Generate, distribute, and review relevant management reports. 

Investigate and resolve exceptions and accuracy issues of the CMS repository. 

 

Key Performance Indicators

Customer focus and achievement of service level targets; 

Increased use of automated service management tools to drive process efficiency. 

 

Candidate Specification:

 

Essential: 

Experience in the use of ITSM tools, particularly ServiceNow and SNOW 

Experience in managing internal software compliance and vendor audits 

Knowledge of software licensing models, terms and conditions 

Experience in hardware asset management and infrastructure services, including purchasing, inventory, stocking and disposal. 

Understanding of budgets, forecasts, procurement, project management and contract management 

Understanding of billing and budgeting processes 

 

Desirable: 

Graduate or equivalent qualification in IT, Information Systems, Accounting, Finance or business-related 

Other relevant professional IT Certifications 

Formal accreditation in ITIL v3 or v4 and/or IT Asset Management 

Experience of using an ITSM system to record and manage work. 

Strong analytical track record; Solid working knowledge of data processing and analysis, with advanced level proficiency in Excel.  

Experience with database management systems, data warehousing, query languages and report generators e.g. Power BI or Tableau
