Complete Description:
The IT Governance Process Analyst reports within the Planning, Management and Oversight (PMO) Division within Office of the Chief Technology Officer (OCTO) and supports the activities of the OCTO Technology Review Board (TRB) and any subsidiary working groups formed by the OCTO TRB, as well as other duties that fall within the PMO Division.
The mission of the Planning, Management and Oversight Division within OCTO is to advance the overall mission of OCTO and the District of Columbia Government by providing oversight of Agency IT projects, planning and coordinating for enhancements and investments in technology assets, and through the promotion, development and use of shared IT services.
The OCTO TRB is the single voting body that advises the Chief Technology Officer (CTO) and the OCTO Executive Leadership Team regarding proposed investments in information technology.
The IT Governance Process Analyst coordinates the activities of the OCTO TRB by ensuring timely and effective communication of all TRB and TRB sub-group activities. The purpose of the position is to assist senior managers in such a way to allow them to concentrate their time, effort, and priorities on strategic initiatives and exceptional execution.
Essential Job Functions:
• Coordinate and facilitate the scheduling and agenda development for all OCTO TRB and TRB sub-group meetings.
• Maintain the collection of potential topics to come before the OCTO TRB for consideration.
• Lead the gathering and development of presentation materials for each topic that comes before the OCTO TRB or TRB sub-group to ensure that all relevant information is available to be considered in the discussions.
• Attend all meetings of the OCTO TRB and TRB sub-groups to capture the recommendations and decisions taken by these governing bodies.
• Develop and maintain any collaborative sites (e.g. SharePoint) and shared document repositories to manage OCTO TRB activities.
• Ensure the timely communication of recommendations and decisions taken by the OCTO TRB or TRB sub-groups in accordance with the TRB Charter and Bylaws.
• Coordinate, draft, obtain approval, and distribute IT internal communication.
• Coordinate ad-hoc requests from the OCTO TRB membership and from senior leadership.
• Develop and maintain IT Governance process documents as well as all other IT Governance content such as templates, checklists, etc as needed to support OCTO’s business operations.
